Be able to stay calm under pressure and capable of thinking on their feet. Duties: Reading, monitoring and responding to the MDs calendar Answering calls and handling queries Preparing correspondence on the MDs behalf. Liaising with staff, clients, etc. Managing the executives electronic diary. Booking meetings. Organising and booking local and international traveling and preparing complex travel itineraries. Arranging accommodation – Local. Organising car hire. Organising and preparing documentation for Visas. Reconciling of travel account at the end of each month. Monitoring exchange rates and circulate accordingly. Banking: o Printing statements each morning. o Payments of accounts (EFT’s) – online bank input and release. Cell phones: o Controlling of cell phones. o Updating renewal of lines. o Distribution of statements to managers. o Candidate must Rica on Nashua and Vodacom. o Corresponding directly with Nashua and Vodacom. Company insurance: o Liaise with insurance companies. o Accidents. o Dealing with claims (motor vehicle and theft, etc). o Dealing with change to fleet. Additional duties: Taking minutes. Taking dictations. Planning, organising and managing events. Preparing correspondences and various other administrative documents including Board packs and other reports. Conducting research on the internet. Screening calls and client interaction. Preparing presentations. Typing and filing documents. Sourcing and ordering stationery and office equipment. Managing small and medium projects. Preforming various personal tasks. Ad hoc duties. Qualifications and Level of Experience Required: Matric At least 5 years previous experience needed on an executive level. Must be fully computer literate (MS Word, Excel, Power Point Outlook and Excel). Driver’s license and own car essential.
