GOSPORT CITIZENS ADVICE BUREAU Job Description JOB TITLE: Project Manager SALARY: £36,000 pa. TERM: Two year fixed term contract HOURS: 37.5pw (Flexible – some out of hours may be required) REPORTS TO: Bureau Manager RESPONSIBLE FOR: Development of the Gosport Advice & Information Network Role purpose: To ensure the success of our Big Lottery funded project; the Gosport Advice& Information Network. This will involve managing and facilitating the collaborative working of partners to provide streamlined effective access to advice and information for all those who seek it in the Gosport area and ensure the Network is equipped to meet future needs and able to secure further sources of funding. Key work areas and tasks: Project Start-up • Work with the Bureau Manager to produce a brief for the steering group, to include; Project purpose Project Objectives Reporting templates and timescales Steering group responsibilities and preliminary budgets Project Risks Steering group Calendar • Promote the project partnership to local influencers and at county network events. • Produce a detailed implementation plan for the Network. • Recruit a service user to membership of the steering group. • Collate detailed information of current advice and information providers within the borough. • Collate detailed information of current users of advice and information provision within the borough Delivery • Prepare and maintain a detailed project plan including significant milestones • Monitor project activities against the project plan, chasing progress as required and resolving any issues. Highlight any delays, issues or conflicts to the Bureau Manager in a timely manner. • Manage the project budget ensuring that the project is delivered to budget. Obtain any necessary approvals to reallocation of the budget. • Create and maintain an up-to-date project risk register, highlighting risks as necessary to the Bureau Manager and ensuring mitigation measures are in place • Ensure effective and timely reporting of project progress to the Bureau Manager and Steering Group, and as required, the Big Lottery. • Prepare and maintain a Communications Plan which ensures appropriate and timely communication of project activities and outcomes to key stakeholders including Partners, staff, volunteers and other agencies. • Maintain accurate and accessible project records including those for budget spend • Act as liaison officer with all partners to ensure tasks funded from the GAIN project deliver value and outcomes. • Ensure external consultants appointed to support the GAIN project are procured within relevant statutory requirements and are subject to the appropriate terms and conditions of the funding. • Directly engage in project development activities as appropriate • Ensure outcomes from the GAIN project are recorded in accordance with the Lottery requirements. • Ensure lessons learned are recorded on a timely basis and reported on to the steering group. • Develop and maintain contacts with local media, keeping records of these. Staff management •Line manage a part time administrative assistant General • Abide by Health and Safety Guidelines and share responsibility for your own safety and that of others • Encourage good teamwork and lines of communication between all members of the network • Ensure that all bureau policies and procedures concerning equality and diversity are complied • Adhere to the Data Protection Act and abide by the aims and principles of the Citizens Advice Service • Any other task related to the success of the implementation of the project as defined by the Bureau Manager
