Background Greater Virunga Transboundary Collaboration is an initiative of the Protected Areas Authorities in the three countries of Rwanda, Uganda and Democratic Republic of Congo. An executive secretariat has been set up to coordinate transboundary related activities intended to strengthen biodiversity conservation and protected area management within the transboundary Protected area network. The Secretariat desires to recruit an Assistant of Executive Secretary. 2. Position : Secretary Executive Assistant 3 Main objective of the post: The main objective of this post is to assist the ES with the Administrative, technique and logistics service support. 4. Post allocation: ES Office 4. Term of Reference of Executive Secretary Assistant 1. To efficiently manage the Executive Secretary time in insuring that the daily is updated and the schedule is prioritized; 2. Manage correspondence and prepare the draft reply of received couriels of the ES; 3. Formulate the notices, administrative considerations and technique of the specific files confided by the ES; 4. Organize and prepare various consultations of ES with les Executive Secretary members as well as GVTC partners; 5. Contribute in cooperation with GVTC department to develop and preserve the GVTC-ES leadership in the landscape; 6. Organize the ES’s trips in the region; 7. Insure and maintain the network with the ES while in the mission and provide to him all information required for his particular attention for immediate action; 8. Hold all files and the essential documentation in ES Office; 9. Allow to the ES to be insured of the follow up and the efficiency interaction of different departments through the essential correspondences and various consultations and others communication network. 10. Responsible of the minutes during GVTCES staff meeting; 11.Maintain and update the database information on the performance and the management of the subsidy funded by the donor; 12. Prepare the schedule of meeting, of Monitoring and Evaluation session and other management function related to the cooperation of other department; 13. Participate and contribute in organization of workshops, meetings and seminars focusing to improve the efficiency of the decisions applied and key procedures of the GVTCES Policy and provide the feedback to the ES; 14. To Maintain and secure the date base electronic references 15. Realize effectively all tasks assigned by the ES. Key Competences and abilities: - Degree in Law or Administrative sciences or related field; - Experience of 2 Years in related field; - Sufficient knowledge in Natural resources management at least one year; - Strong skills in computer systems; - Excellent oral and written capacity in English and French - Excellent organizational capacity - Professionalism and confidentiality - With equal qualification, women will be given more chance. Other Requirement: - Desire to learn more on GVTC organization and mission - Experience in management of data use; - Innovative skills, dynamism and evaluation are Essential; Work conditions: This post is based in GVTC head quarters in Kigali and the Administrative Assistant could make some trips outside of the country in case it is required.
