GUIDE LINES FOR UPDATING THE CADRE REGISTER 1. Roles of District Admin: Issue user name & password to Institution user within the district. The username should of the form “Inst_Name of Institution_Institution Code”. For example the user name of CHC Agali is of the form “Inst_CHC Agali_5556”. You may also issue user name & password to any other section clerk of DMO’s Office. The user name of DMOH Thiruvananthapuram is of the form “Inst_D DMOH Thiruvananthapuram_5798”. Care should be taken to attach correct institution code. You can obtain the said code from the menu “View Codes”. The district level user can enter or edit any fields of the cadre register of an employee within the district. While issuing the password to an Institution user, advice them to change the default password. It is the duty of the district admin to train the institution user in updating the cadre register. 2. Roles of Institution user: Issue user name & password to Individual users within the institution. The username should of the form “Indu_Name of Incumbent_Pen”. For example the user name of Pradeep RS with PEN 185279 is of the form “Indu_Pradeep RS_185279”. Care should be taken to attach correct Pen of the incumbent. The Institution user can enter or edit any fields of the cadre register of any employee within the institution. While issuing the password to an Individual user, advice them to change the default password. It is the duty of the Institution User to update the cadre register in respect of all employees of that institution. 3. To Change the Password: First enter the site, dhsonlinetransfer.in, Enter the user name & the default password and the Text then click “Log in”. On clicking log in you can enter your home page. Click the menu “Change password” then the change password module will be opened at the right side of the same page. Enter required details and click the button “Change 2 Password”. Then a message will appear on the top of the page. A user can change his own password only. 4. To Create New Password. First enter the site, dhsonlinetransfer.in, Enter the user name & the password and the Text then click “Log in”. On clicking log in you can enter your home page. Click the menu “Create password” then the Create Password module will be opened at the left side of the same page. Enter required details and click the button “Create Password”. Then a message will appear on the top of the page. Don’t try to create password for a user outside of your jurisdiction. 5. The Cadre Register: The cadre register is divided into parts – The General Details & Incumbency. First update the general details and then the incumbency details. 6. To Update the General Details: First enter your Home page as mentioned above. Then click the menu “Cadre Register”. It will open the cadre register. Click the menu “General Details”. Enter required details and click the button “Save Data”. Then a message will appear on the top of the page. Similarly you can edit the updated details By Clicking the menu “Edit General Details”. 7. To Update Incumbency: First enter your Home page as mentioned above. Then click the menu “Cadre Register”. It will open the cadre register. Click the menu “Incumbency”. Enter required details and click the button “Save Data”. Then a message will appear on the top of the page. Similarly you can edit the updated details By Clicking the menu “Edit Incumbency”. 8. To Take the Print out: Anybody can take the print out of the individual cadre details from the Home page of the site by clicking the menu “View Cadre Details” and submitting the Pen.3 9. Points to ponder: 1. Do not issue password unnecessarily. 2. Care should be taken to avoid errors in editing and updating the details. 3. Any changes made on the register will be recorded as updated by the user and that user will be responsible for any laps occurred in this regard. 4. Do not convey the password of a user to anybody else. 5. Try to change the password frequently 6. Utmost care should be taken to enter correct codes (Institution code, Designation Code, Cadre Code, District Code) You can obtain the code from the menu “View Codes”.
