Group #5 Chapter 11: “Communication In Organization” I. The Nature of Communication in Organizations Communication - Is the social process in which two or more parties exchange information and share meaning. The Purpose of Communication in Organizations * Achieve Coordinate Action * Share Information (Organization Goals, Task Directives, Results of Efforts, Decision Making) * Express Feelings and Emotion Communication Across Cultures Communication is an element of interpersonal relations that obviously is affected by the international environment. Language – Differences in languages are compounded by the fact that the same word can mean different. Coordination – International communication is closely related to issues and coordination. II. Methods of Communication * Written Communication (letters, Memos, Reports, Manuals Forms) * Oral Communication (Informal Conversations, Task-Related Exchanges, Group Discussion, Formal Speeches) * Non Verbal Communication (Facial Expression, Body language, Human/Environment Elements, Office design, Building Architecture) III. The Communication Process Source – Is the individual / group / organization interested in communicating something to another party. Encoding – Process by which the message is translated from an idea / throught in to transmittable symbols. Transmission – Process through which the symbols that represent the message sent to the receiver. *The medium – Is the channel or path through which the message is transmitted. Decoding – Process by which the receiver of the message interprets its meaning. The Receiver – Is the individual, group or organization that perceives the encoded symbols. Feedback – The receiver response to the message. Noise – Disturbance in the communication process that interferes with or distorts communication. IV. Electronic Information Processing and Telecommunications Communications – Related changes in the workplace are occurring at a rapid clip. Many recent innovations are based on new technologies computerized information processing systems, telecommunication system, the internet, organizational intranets and extranets and various combinations of these technologies. V. Communication Networks - Form spontaneously and naturally as the interactions among workers (continue overtime) * Small group networks * Organizational Comminication network * Whell network * Gate keeper * Circle network * Liaision * Chain network * Cosmopolite * All channel network * Isolate and Isolated dyad VI. Managing Communication As simple as process communication may seem, messages are not always understood. The degree of correspondence between the message intended by the source and the message understood by the receiver called communication fidelity. Improving the Communication Process - To improve organizational communication, one must understand potential problems. a) Source – May intentionally with hold or filter information on the assumption that the receiver does not need it to understand the communication. b) Encoding and Decoding – Problems occur as the message is translate into form of the symbols used in transmission. c) Receiver – Several communication problems originate in the receiver, including problems with selective information, value judgements, source credibility and overload.
