Employee contracts & policies a) Compilation of employee contracts and policies for all new employees within the Group. b) Issue of employee contracts and policies to all new employees within the group. c) Collecting of all signed contracts and policies documents for all new employees within the group. d) Assistance to new employees regarding th...e completion of signing of contract and policies documents. e) Must communicate with Payroll regarding new employees and documentation pertaining to new employees from HR Assistant. f) Must have list of all new contracts issued and when Probation period is up to let Junior Manager know well in advance before the employee becomes permanent. g) Wrote and maintain policies. h) Compiling of Job Descriptions as and when applicable. 2. Induction program and exit interview a) Compile and structure and induction Program for new employees. b) Once authorised and agreed to, present the induction program weekly to all new employees on specific day. c) Make sure all new employees sign and induction agenda. d) Compile and structure an exit for employees. e) Conducting exit interviews with Employees who resigned. 3. Employee evaluations and appraisals a) To be developed and implemented. 4. Leave a) The leave system must be updated simultaneously on a daily weekly and monthly basis. b) HOD’s must be notified off any variances. c) The leave programme must be updated on a daily and weekly basis in accordance with the Clock-In system. d) Correct, complete and updated records for Leave system must be available at all times. e) All outstanding leave must immediately be completed. 5. Filing a) Employees: • All the employee files and cabinets must be maintained on a daily, weekly and monthly basis. • All the employee filing and payslips must be done regularly after the monthly payout. • All the employee files must be complete with all relevant documentation at all times. • New files must be created for all new employees after the monthly payout and the relevant contracts and policies must be filed. b) Leave: • All leave documentation must be filed in a simple yet effective manner. • All leave forms in accordance with the leave must be obtained and filed on daily weekly monthly basis. 6. Employment sourcing a) Sourcing of qualified and relevant personnel agencies. b) Liaising with personnel agencies regarding new personnel. c) Acquiring of curriculum vitae’s for employment candidates via personnel agencies and other forums e.g. newspaper advertisements. d) Arranging of interviews for possible candidates between the personnel agencies and (Director’s, Members, and Trustee’s) and candidate personally if needed with reference to time, place and interviewers. e) Compilation of Job/candidate specifications and salary scales for Personnel agencies, Candidate and interviewers. f) Communication to all relevant parties regarding job specifications and salary scales for interview purposes. g) Communication and arrangements with Personnel Agencies / Candidate regarding success rate of the interview. 7. Industrial relations a) Attend to relevant disciplinary issues (counselling’s, written warnings and hearings). b) All relevant documentation needs to be compiled of actions taken in the above. 8. Payroll a) Attend to payroll queries of Directors e.g. Amounts, monthly salaries etc. b) Assistance with payroll if and when applicable. 9. Employment equity a) Research and assistance in compiling Employment Equity reports once a year when needed to be submitted. 10. Health and safety a) Assistance in the development of the new health and safety system i.e. Audit, development, committees, implementation etc. 11. Fun day a) Organising of monthly fun day. 12. Miscellaneous a) All other tasks allocated by HOD/Manager. b) Assistance with all other tasks, developed by HR.
