Hi all interested volunteers / participants: Here are the minutes of the organizational meeting held Wednesday at Caliente: We identified items needed for this project to be successful and I noted comments and volunteers for each item as follows: Proposed Date of Event: May 17, 2014 Please advise if this will interfere with any other major community event. This does not include anybodys birthday party, baseball game or other individual conflict. Ponds - We discussed the need and requirements for ponds to be used. We desire for the ponds to be within Central or in close proximity to Central because of the pond rotation plan that we discussed to allow/require all anglers to fish all ponds. The perimeter of the ponds should be flat, level and mowed (or at least have a portion of the perimeter flat, level and mowed) for safety and ease of accessibility. The Tournament Volunteers will coordinate with property/pond owners to ensure parking is clearly marked to prevent any property damage from vehicle traffic. This tournament will be a catch and release tournament to encourage more pond owners to participate (details discussed later in these notes) We will make a liability waiver a component of the entry form. So far, the following pond owners have agreed to participate: Jimbo Tate (Greenwell Springs north of Hooper) Shane Evans (Wax near CHS) Mike Mannino (Blackwater near Gurney) John Durham (Greenwell Springs Road north of ) We discussed the pond at the new Central Sports Park, and TJ will be calling Mrs. Katrina Ward to get information about that. I saw a photo of Jude Fontenot recently, holding a big ol fish that was caught in a pond that I hope we can include. hint hint. (Mr. Brady Fontenot contacted me. This pond is IN. Final Weigh In Location / After Party - this is one item we really did not get settled and we are looking to lock this down. Places mentioned, but owners/managers have not been contacted yet include: Jackson Park Pavillion (will serve well if weather is not good - just ok room for parking) Shane & Anitas front yard under the oak trees (will only work if DRY - parking) Kristenwood ($$$ may be an issue, but plenty of room) Central Square - End of Wax Rd behind Canes (small pavillion, but nice area, with adequate parking behind Coaches/Menchies) Town Square - Lovett Rd Any other ideas???? The Tournament Classes Ages 10 - 14 Total number of fish (1st, 2nd and 3rd place) Highest total weight of fish (1st, 2nd and 3rd place) Biggest single fish by weight (1 award) Ages 9 and under Total number of fish (1st, 2nd and 3rd place) Highest total weight of fish (1st, 2nd and 3rd place) Biggest single fish by weight (1 award) Ages 4 and under (Terris idea - GREAT! To be conducted at Weigh-in) Total number of fish caught from baby pool with magnetic poles and magnetic fish (Everybody wins) Entry / Registration / Getting the word out We will ask for a $10 sponsored entry fee from each angler. (we can add a spot on the entry form so the angler can write in who their sponsor is) We discussed printing two separate documents for the tournament: An entry form / waiver of liability document that consists of the anglers information, along with the guardian who will accompany the angler on tournament day. The backside of the entry form will be a waiver of liability that must be signed by the anglers parent/guardian prior to participation. These will be widely distributed by volunteers at area businesses, and COLLECTED, completed and accompanied with the entry fee by key volunteer Central businesses. A Tournament Tally Sheet that on the front contains the angler and guardian information with a lined section to be used by the weighmaster and other tournament volunteers to record the anglers catch. The backside will have a map with typed directions to each pond location and the pond owners name. The Tournament Tally Sheet will also indicate which Flight the angler is in for pond assignment. The Tournament Rules Fishing will be done from the bank of a pond only. No boats, canoes, piers, innertubes, etc. Standing in shoes on grass or dirt. This is a liability issue. Fishing for the Tournament will be done ONLY in designated ponds. ONLY fish caught at one of the designated ponds will be recorded by the weighmasters. Fishing will be done with hook and line only. Live, blood or artificial bait is acceptable. For the benefit of those who come from country heritage, we will specify no crank telephones, explosives, gill, cast or hoop net fishing. All fishing will be catch and release only unless the property owner wants or gives what the anglers catch. Period. The Tournament will provide for weighmasters to be located with appropriate equipment at each pond location to weigh and record each anglers catch on the Tournament Tally Sheet provided to the anglers parent / guardian during registration. There will be flights of anglers that will be assigned to each pond for a pre-determined amount of time. The weighmasters will indicate to the anglers and their guardians when it is time to move to the next pond. All anglers will fish each pond for the same amount of time. The time at each pond will be determined by the total number of available ponds we wind up with. Anglers will have a starting weight / fish count of zero at each pond. The weighmasters will weigh / count / record and sign each anglers Tally Sheet prior to the angler leaving that pond. The Tally Sheet will be carried by the anglers guardian to the next location and finally to the Weigh in for final tally. Tally/Awards Ceremony Schedule of Events: At the end of the fishing day, the anglers, their guardians and tournament volunteers will meet at the Weigh In Location/ Awards Ceremony. Volunteers will calculate number of fish, total weigh of fish caught by each angler, and identify the big fish winner for each age class. While winners are being calculated, the anglers will be fed hot dogs, etc. Jambalaya will be ready for those interested and sold with proceeds going towards the fundraiser. A raffle is planned for donated items. I believe a bucket auction using tickets may considered. If any higher dollar value items are offered, we may separate those items and offer as a silent auction item. Volunteers so far: Terry Summers, Alex Peairs, Cathy Carraway have agreed to start working on soliciting ingredients from area retailers for food and supplies for a jambalaya. Terry and Mr. Freddie Gardner may be shaping up as cooks. We will sell plates of jambalaya during the day and at the weigh in / after party. Several attendees volunteered to start working on seeking donors for prizes or other needs. Volunteers needed: We will need the following positions staffed: Weighmasters Registration Table Staff Cooks (bbq pit / hotdogs) Servers Cleanup crew Prizes / Auction items offered so far: Daryl Carpenter - Fishing trip (Daryl, please reply with details, such as what the trip is and value) Junk in the Trunk (Debbie & Kenny Dougherty) - Furniture Item (Debbie, same as above) Mepas - Gift Certificates Smoothie King - Gift Certificates Snowball Party for 50 x2 - Certificates Prizes NEEDED: One of the biggest needs will be Auction items and prizes. The consensus was 1, 2, 3 place in each category could/should be fishing equipment such as rod / reel combos, tackle boxes, items needed to fill tackle boxes, fishing towels, stringers, baskets, etc. Any other suggestions are welcome! Direct cash donations to be used to buy anglers prizes will likely be needed, unless someone offers that equipment. Ok, whew. I am sure I forgot something. Please chime in, but most importantly, please get on your phones, or while you are out and about, go see some folks about donations. AIM HIGH. This is a great cause. We will look at another meeting sometime next week. Maybe at an outdoor venue and make it a quick one now that we have a little bit of a framework to start with. Thanks all, Shane
