Job Purpose: This position is responsible for the delivery of a professional and comprehensive HR admin service for the group, including the Retail stores nationally and Weylandts Furniture Creations. It also covers a range of HR activities including providing backup to the Payroll administrator, assisting with recruitment, E.R, discipline and grievance issues, advice on HR areas to line managers and staff, the development & implementation of HR procedures and policies. Main accountabilities: Managing the company’s VIP Employee Self service process and reporting on HR related information, e.g. absenteeism, annual leave etc. Updating and maintenance of company organisation charts and other admin activities such as offer letters & contracts, various letters to employees, training administration etc. Ensuring all paperwork & HR processes are completed accurately and timeously e.g. maintaining updated staff files, Provide back up for the Payroll Administrator on VIP payroll (monthly, weekly and bi weekly) ensuring that data is accurately captured, that all deadlines are met and that all data has been approved before changes take place. Efficient handling of Workers compensation issues & claims, and Provident fund queries/ withdrawals etc. Involvement in recruitment - advertising positions, shortlisting & interviewing retail, warehouse, factory and office candidates. Dealing with recruitment agencies where applicable to ensure high caliber candidates are employed. Responsible for reference checking and arranging second interviews. Provide support to the management of disciplinary, grievance, performance & absence management. Assisting the HR Manager in many areas of HR including various HR projects to ensure best practice and alignment of HR support to business strategy Person specification: Matric plus diploma in HR Management required, with a minimum of 5 years HR strong admin experience in a retail or FMCG environment. Good PC literacy is a pre-requisite and must have good VIP or similar Payroll/ HR systems as well as intermediate MS Office skills (Excel, PowerPoint, and Word). Must be able to evaluate problems, investigate issues, support and communicate well with others. As well as technical skills required above the candidate must be able to demonstrate a positive, can-do attitude, be a problem solver, take responsibility for their work, be a self-starter, accurate, have good attention to detail and sound decision-making skills.
