Project Secretary – 2 to 3 ----- SR 1800/- to SR 2,500/- MAIN PURPOSE OF THE JOB To ensure that all secretarial duties are carried out to the highest standards. JOB OBJECTIVES 1. To familiarize yourself with the full understanding of the scope of work. 2. To ensure correct screening of all incoming calls and correct handling of outgoing calls. 3. To ensure that all messages are taken down in a correct and understandable manner and urgent messages are conveyed as soon as possible. 4. To ensure that you are kept up to date will all new computer programmes. 5. Ensure that bookings of air tickets, hotel accommodation and car hire are made and as cost effective as possible. Ensure orders are made for these bookings and authorized. 6. Ensure all typing given is done neatly and correctly. 7. Ensure that all outgoing correspondence is handed out to the respective recipients, timeously. 8. Ensure that the filing is correctly filed and up to date. 9. Ensure that information conveyed to you is kept confidential. 10. Ensure that you project a professional image for yourself and the company. Any other adhoc duties as assigned from time to time. Office Administrator – 2 to 3 ----- SR 2,500/- to SR 3,500/- MAIN PURPOSE OF THE JOB Responsible for quality of installation, ensuring that it keeps planning and that it achieves the desired profit. JOB OBJECTIVES 1. Ensure that you receive briefings on all aspects of construction from the responsible Manager. 2. Ensure the responsible Manager has copies of all documents, drawings, catalogues and handbooks relating to the project 3. Ensure that work standards and site rules are adhered to and that the companys disciplinary procedures are followed. Attending meetings on/ off site and minute taking Ensuring all timesheets have been entered correctly for the project team Formatting reports and print them accordingly Ensure digital files are kept up to date 8. Ensure that standard specifications for all jobs are followed. 9. Ensure that temporary facilities are provided. 10. Organise site establishments. 11. Organise stock control on site. 12. Assign packages of work to charge hands in accordance with the project plan. 13. Control the issue and return of tools and ensure that they are kept on site and that they are maintained in good order. 14. Check and report on the performance of the people under your control. 15. Control the site attendance and time keeping and keep records of this. 16. Monitor everyday labour relations and report to the responsible Manager. 17. Liaise with the client on programming requirements and actual programming. 18. Liaise with head office Expeditor on material supplies to site. 19. Any other adhoc duties as assigned from time to time. Office Boy – 2 ------- SR 900/ to SR 1,100/- p.m. MAIN PURPOSE OF THE JOB All office assistance works JOB OBJECTIVES · Should have good standard of writing and spoken English · Should be able to distribute copies of relevant documents to various departments concerned · Should be able to use photocopier and make copies of large volumes of documents and drawings etc. · Should be able to take messages in the absence of all office staff and receiving of visitors · Should be able to serve tea, coffee etc. to office staff and visitors · Should be able to keep the office area clean and tidy · Should be able to use shredding machine or any office machine · Should be neat and tidy. Accommodation Coordinator -1 SR 1800/- to SR 2,500/- 5. Travel Coordinator – 1 -------- SR 1800/- to SR 2,500/- MAIN PURPOSE OF THE JOB To ensure that all travel duties are performed at a high standard and that the travel function is maintained professionally. JOB OBJECTIVES 1. Responsible for handling and processing of all aspects of company travel for Kentz staff and clients worldwide, spouses, where applicable and as required, including arrangements of flights, accommodation, transport, foreign currency and visas, plus any other travel requirements. 2. Responsible for implementation and maintenance of travel memberships and/or travel subscriptions. 3. To provide a professional and efficient service. 4. To provide cost effective travel arrangements. 5. To conduct professional and courteous Liaison with Travel Suppliers. 6. To provide required travel details for accounting purposes. 7. Timeous reconciliation of travel accounts and submission to Accounts Dept. for payment. 8. To ensure that annual benchmarking costs are accurate and up to date, and approved by Management annually. 9. To ensure that the benchmarking estimates are adhered to. 10. To ensure that Service Level Agreements (SLA’s) with Travel Suppliers’ are compiled to. 11. To ensure that the Travel Division is effectively managed. 12. To ensure proper supervision of the Travel Assistant. 13. To ensure up to date operation and implementation and maintenance of Global Distribution System and / or other System . 14. Introduction, implementation and maintenance of any negotiated travel rate and/or contract to improve costs and operation of travel division. 15.
