December 17, 2014 Support Staff – Receptionist Requirements: • Bilingual – Fluent in Spanish and English • Reliable – Able to work from 8:30am to 5:00pm Monday through Friday • Prior experience on Microsoft Outlook and Word – 3 years • Can prioritize various duties given from multiple individuals • Professional and comfortable attitude – working with public by phone and in person • Organized • Legal to work in United States • Valid Oregon Driver’s License • First contact with public by phone or office o Computer and phone should be logged in during regular business hours – On time and reliable. o Professional Dress – not expensive – appropriate for job duties, including bending. o Obtaining names and information on what client needs, for walk in business. o Making appointments using company calendars and information from staff. o If CSR is not readily available, take a moment to check contact information, phone numbers, emails, names and addresses. o Make sure front office is neat and presentable. • Assists Management with the eyes and ears of the Agency o Knows the workflow that is being handled by each CSR and can advise management if adjustments, even temporary, need to be made. o If there is a conflict in the workplace, can keep Management apprised openly and honestly. o Suggestions on keeping office professional and comfortable for all. • Provides Translation services to insureds – Trustworthy o Provides Spanish to English translation from Clients to CSRs. CSR should be able to trust translation and be able to receive accurate and unbiased responses translated. Showing respect for all parties and giving true picture of conversation. o Quick and concise. Do not waste Client’s time or CSR’s with items that are not related to insurance business. o Represent Agency in professional manner. o Make sure when Producers make appointments with people needing a Translator that it is added to Translator’s calendar. • Mail o Outgoing mail should be stamped and addressed correctly and go out the day it is put in the mailroom – no later than 2:45pm. o Incoming mail should be collected from mailbox each day by 3pm. o Monday morning the incoming mailbox should be checked and Saturday’s mail should be distributed before 10am. o Check mail for items that do not belong to our Agency-these should remain unopened. o Any returned mail should be left as is and distributed to appropriate CSR – do not stamp or open. o Mail should be stamped on Agency copies only. o Determine Personal Lines vs. Commercial Lines mail and distribute to correct CSR. o Important mail should be on top – primarily checks. • Assistant to CSR’s and Management o Ability to reason and think problems through, minimal training needed for simple jobs. Taking every job seriously and doing best job possible. o Scanning – keeping items in order and making sure they are scanned completely. o Taking payments-verify insured has current and active billing and making sure to take appropriate amounts. Make sure checks are made out appropriately. Receipts given for each payment-payment uploaded in timely manner and accurately. o Folding Certificates o Binding policies to be mailed-if emails are not available. o Commission Statements reconciled for Jeff. • Keeping busy o Check to see if someone could use help. o Restocking calendars, brochures, straighten up mailroom. • Personal Interaction o Be considerate of other employee’s space and time o Personal information should not be requested or solicited. o Complaints and concerns should be handled professionally o Remain from making others uncomfortable.
