JOB DESCRIPTION TITLE: Administrative Assistant - Human Resource/Corporate Compliance – WNYIL DESCRIPTION: Perform administrative activities for and on behalf of the Director of Human Resources, Corporate Compliance Officer and Human Resource Coordinator. Conduct general office duties including computer input, bulk mailings, copying, faxing, reception and other miscellaneous clerical office functions. Facilitate communications between the Accounting Department, Human Resources, Corporate Compliance, Inter-Agency and Intra-Agency requests. GENERAL DUTIES: 1. Complete all typing, filing, and report writing assignments within designated time periods. 2. Maintain general correspondence. 3. Gather and produce both Departments’ End of the Month report by the third business day of each month, and forward the completed report to the Assistant to the Executive Director. 4. Answer all incoming Department calls, referring calls to appropriate staff. 5. Maintain a copy of the HR Director/Corporate Compliance Officer’s schedule. 6. Maintain and monitor the supply inventory for the HR Department. 7. Place all supply orders needed by the HR/Corporate Compliance Department with the WNYIL Administrative Assistant who is assigned to order Agency wide supplies. 8. Post and take outgoing mail to either the mailbox or post office when scheduled. 9. Assist with bulk mailings and make Welcome Packets when requested. 10. Provide back-up in receiving and distributing all incoming mail to departments. Collect and apply postage to all departments outgoing mail, when requested and/or scheduled. 11. Provide back-up when requested and/or scheduled to answer all outside calls for the WNYIL and direct the callers to the appropriate staff/department. 12. Provide back-up receptionist duties for other WNYIL Departments when requested and/or scheduled. 13. Perform Notary Public services for WNYIL and consumers. SPECIFIC DUTIES: 1. Maintain Agency personnel data base. 2. Assist HR Coordinator with Job Announcements and other employment requirements according to EEOC standards. 3. Maintain and update all Internal and External Job Postings on the Agency’s website. 4. Maintain and update all Job Description on the Agency’s website. 5. Assist HR Director and Coordinator with the maintenance of Agency personnel files. 6. Assist with the processing of required employment paperwork for all personnel. 7. Prepare Employee Handbooks and maintain any changes to the Handbook. 8. Research Human Resources information as requested by supervisor. 9. Work with the Director of HR and the Coordinator to produce the Agency’s bi-annual employee newsletter. 10. Produce and mail follow up letters for job postings. 11. Perform any other duties as deemed legally and ethically necessary by the Supervisor. SUPERVISION: Works under the direct supervision of the Director of Human Resources/Corporate Compliance Officer. STANDARDS OF PERFORMANCE: Must at all times perform in a professional, conscientious, and efficient manner for the purpose of ensuring a better quality of life for persons with disabilities. QUALIFICATIONS: Must possess a two (2) year Associate’s Degree in an administrative/HR related program or High School Diploma, or a G.E.D., plus two (2) years experience in general office work and some knowledge of Human Resources. Professional and life experience may be considered in lieu of, in full or part of academic credentials. Must be able to type forty (40) words per minute and possess excellent telephone skills. Must have good knowledge of computers, including databases, word processing, and networks and the ability to learn Human Resource requirements.
