The Director obtains funding for academic and institutional initiatives including research. Duties include cultivation, proposal development and grant administration. Position is full time, exempt. Bachelor’s degree and a minimum of five years experience in pre-award grant administration in a college, university or research environment is required. Demonstrated experience with preparation of grants and contract proposals to federal and state agencies is expected. Master’s degree and CRA preferred. Director, Academic Grants & Sponsored Programs (pre-award) Department: Academic Affairs Official Title: Director, Academic Grants & Sponsored Programs Number of Individuals w/Job Description: One Organizational Unit/Department: Academic Affairs Work Location: TBA Title of Immediate Supervisor: Associate Vice President for Institutional Effectiveness Other Positions Reporting To This Position: None Purpose of Position: Daemen College has a dynamic grants/sponsored programs operation comprised of private, state, and federal grants and contracts, subcontracts, and industry agreements. In FY14, Daemen’s sponsored programs portfolio was comprised of over 25 active awards totaling over $2.5 million in expenditures. The purpose of this position is to obtain funding for academic and institutional initiatives, including research, to benefit Daemen College faculty, staff, and students. Duties: Cultivation: • Identifies funding sources. • Arranges meetings with prospective sponsors. • Obtains grant applications and guidelines. • Discern opportunities and prioritize projects that align with the mission and strategic direction of the College • Coordinates efforts with Institutional Advancement Division. Proposal Development • Assists project directors/principal investigators with all aspects of narrative, as needed. • Examines proposals to ensure that all guidelines are met. • Assists in developing budgets; examines budget to ensure that time and effort, indirect costs, expenses, salaries, wages, and benefits are compliant with Daemen policies, sponsor guidelines, and federal regulations. • Provides supporting documents. • Facilitate access to critical institutional data and information for grant writing and reporting. • Mails or transmits proposals in accordance with sponsor guidelines. • Serves as Authorized Organizational Representative (AOR) for electronic grant submissions. • Serves as institutional Point of Contact for grant proposals. Internal Communication • Routes proposals for required authorizations by College leadership; • Informs campus community of new grants and grant opportunities; • Prepares annual report for Vice President for Academic Affairs; details all proposals submitted, awarded, and declined, reasons, and information. External Communication • Facilitates relationships with external sponsors. • Works with Institutional Advancement to acknowledge sponsors and ensure press releases/public media meet sponsors guidelines for public recognition. Grant Administration • Coordinates with Grant Administration Manager (post-award) in Business Affairs to support award set up, reporting, no-cost extension requests, and close outs. • Assists project directors with narrative reports, as needed. • Facilitates policy development related to grants; informs faculty of policies and procedures required by sponsors. • Assists in drafting or updating grant-related institutional policies and procedures to comply with state and federal requirements and agency requirements; updates Academic Grants Handbook, as needed. Training • Attends technical assistance workshops; • Attends training sessions to keep current in the field. Skills and Qualifications: • Bachelor’s degree (Master’s preferred). • A minimum of 5 years of successful experience in pre-award grant administration in a college, university or research environment. • Demonstrated experience with preparation of grants and contract proposals to federal and state agencies (e.g. U.S. Dept. of Defense, U.S. Dept. of Education, NYS Education Department). • Demonstrated experience with Western New York, state and national foundations. • Excellent oral, written, and interpersonal communication skills. • Excellent organizational, time, and project management skills. • Ability to work collaboratively. • Proficiency in Adobe Acrobat Pro, Excel, Word, and grant submission systems (e.g. grants.gov). • Experience in electronic research administration. • Certified Research Administrator (CRA) preferred. • Passion for Daemen’s College’s mission. Position is full time, exempt and may require additional hours during peak periods in order to meet grant and reporting deadlines.
