Job Opening-Education Abroad Program Officer Position Summary: The Program Officer (PO) works primarily in student affairs for the Education Abroad Program. The PO is responsible for all aspects of student housing in host families, the Language Partner Program and student health care support. The PO also works on organizing and implementing extra-curricular activities, cultural events, program logistics, maintaining program library, files and databases, communicating directly with students and assisting the Education Abroad team in running the department. S/he assists with maintaining student well-being, including serving as a cultural resource for adaptation into Jordanian society and addressing student concerns. S/he is available as a safe contact for students to ask questions. The PO should be flexible to work in and out of the office and assists and reports directly to the Education Abroad Program Manager. The PO has duties in the following areas: Housing The PO is responsible for student host family housing. S/he ensures a safe and comfortable living environment for students, including identifying and securing host families, enforcing housing policies and answering any housing requests or concerns. The PO, utilizing AMIDEAST host family protocols and procedures: -Identifies and interviews, on a continuous basis, appropriate host families for students enrolled in Education Abroad programs in Jordan -Orients host families to: the goals and objectives of AMIDEAST Education Abroad programs the role of the host family program in the overall program the expectations of AMIDEAST and the students with respect to the obligations and roles of host families -Orients students to the host family program and process including the expectations of AMIDEAST and the host families with respect to their behavior and obligations in the host family setting -Introduces students to their host families and accompanies them when they move in with the families -Visits host families on a regular basis throughout the time that students are living with them -Mediates problems and misunderstandings that arise between students and their host families -Reassigns students to different families when AMIDEAST Education Abroad staff determines that the original host family is not meeting its obligations and/or AMIDEAST’s expectations or if the relationship between the family and student(s) is not working after attempts to resolve differences have failed -Evaluates the host family program at the end of each program, including each host family as well as the program as a whole -Makes adjustments in the host family program to respond to issues raised in the evaluations -Prepares a packet containing maps to all host families and makes copies for all staff associated with the program who carry the Emergency phone Extra-curricular activities: -Manages the Language Partner program, recruiting and interviewing new Language Partners (LP), updating the database, assigning students and following up with students and LPs. -Leads student healthcare support, making appointments with doctors, accompanying students, following up with medical labs and purchasing prescription medications. -Coordinates, schedules, and implements the logistics for cultural events and lectures, assists in logistics for orientation, field trips, and excursions. Accompanies students on excursions. -Explores new ideas for student activities to facilitiate integration into Jordanian society. -Assists with the Program Library, adding new acquisitions to the database, managing student book borrowing, maintaining an updated library catalogue and running regular checks on all library content. -Assists in arranging transportation for the program, such as airport pickups, field trip/excursion transportation, etc. Makes all arrangements for excursions such as tickets, guide-arrangement, hotel reservations, etc -Assists with exploring internships and cooperation with other organizations Filing/Clerical: -Assists in maintaining an up to date a comprehensive database and filing system for individual students, including but not limited to local contact information, home university contacts, emergency contact information, general information, student information sheets, academic files, etc. -Assists in requesting and obtaining office supplies -Helps with facility maintenance as needed. -Assists teachers in preparing classrooms, arranging for guest speakers and field trips. -Compiles course packets for classes and assists faculty with other clerical duties such as photocopying. -Manages the logistics of Orientation and other special events for the Education Abroad Department. -Assists in maintaining database of department equipment -General clerical and administrative duties, as assigned Student communications: -Addresses student concerns (in consultation with the Program Manager) and -Follows up on student inquires and requests -Prepares announcements and notices and communicates them to students through email and/or written postings -Prepares and distributes informational materials about events such as Orientation, field trips, excursions and cultural activities. -Makes him/herself available to assist in addressing any student emergency or illness -Assists the Program Manager with other duties, as needed. Working hours are flexible, but generally are from 8am-5pm, Sunday through Thursday. May, on occasion, require hours in excess of 8 per day and/or 40 per week. Some tasks may require evening and weekend work and the PO must be available 24/7 in case of emergency. Skills and character requirements: -Ability to multi-task -Attention to detail -Friendly and outgoing with students -Ability to maintain a balance of authority with amiability and empathy -Willingness to assist others -Respect for student confidentiality -Flexibility with tasks and work hours -Works well with others under a sometimes stressful environment -Patience -Good communication and networking skills Qualifications: Required -Bachelors degree -Fluency in written and spoken English and Arabic -Knowledge of Jordan and Amman -Computer literacy, particularly Microsoft Office applications (Word, Excel, etc) and database management -Strong interpersonal skills -Ability to multi-task -Flexibility Preferred -Previous experience in a similar field, dealing with student affairs or working with educational programs. -Overseas study experience -Familiarity with U.S. education system Understanding This job description is not intended to be all-inclusive, and the incumbent will perform other reasonable business-related duties as assigned by the immediate supervisor and other executives when necessary.
