We are hiring a capable Personal Assistant to perhaps initially join us part time, with eventual progression to full time employment, or even become a stakeholder in the future. Prospects Career advancement for this post has a direct proportionate relationship to the growth of the company. The intention is for this position to be promoted at least to that of an Office Manager as the company expands. New opportunities in other areas such as Sales & Marketing, Project Management, Procurement, Client Services, HR… etc to grow into, if the successful candidate has a proven flair for it. Should the successful candidate decide to carve his/her own path eventually, this would be an excellent platform for him/her to gain experience and know-how. Operational Function: Take on and assist management in: a. Company Administration such as (but not restricted to): • Supporting finance and accounts department; • Prepare documents as such meeting minutes, drafts of job descriptions, official correspondences; • Office Housekeeping; • Coordinate internal and external meetings; • Support Marketing Activity such as maintaining and expanding database of contacts Estimated 35% of working hours spent on this b. Project & Business Development Support • Follow up with clients, suppliers and other service providers located in Singapore, China, Indonesia (or possible other regions); • Prepare and coordinate drafts of contracts, BOM, SOW, purchase orders, invoices and other project related documents; • Opportunities to meet clients and suppliers • Some work related overseas travel may be required Estimated 65% of working hours spent on this For both positions, you are expected to follow through with assignments within given and agreed timelines; make recommendations; as well as take on responsibilities and accountability. Professional Background of candidate Minimum 2 years in a project planning and coordination (or relevant) position, preferably in the one of the following industries: IT network infrastructure installation, E & I, Marine/ Offshore Construction or Oil & Gas industries. Applicants with Basic technical knowledge relevant to above industries; or who have experience in other positions within the same industries seeking a change in work environment would be much favorably considered. Fresh school leavers will also be considered if field of study is industry-relevant. Educational Background Minimum NTC in a related preferred but will consider outstanding candidates with other qualifications Language Abilities - MUST HAVE! Good in both written and spoken English and Mandarin, Hokkien and/or Teochew Ability to communicate with our China and/or Indonesian partners a plus IT Skills Proficient in using Microsoft Office suite – Outlook, Word, Excel, Powerpoint for creating documents such as official quotations, purchase orders, budget templates and corporate presentations. Ability to use Autocad a plus Work Hours & Employment Schemes Rates and salary and commensurate with experience and value-add quotient. Scheme 1 (Part Time, CONTRACT FOR SERVICE) • You would be a sub contracted staff and be responsible for your own PA insurance, CPF contributions and IRAS reporting etcetera as required by the Laws of Singapore. • Hourly rated, required for 3 days x 8 work hours per week (excluding lunch breaks of 1 hour), Monday to Fridays. • You would be able to work from home, on site or outside of the office but will need to report to office the on the first designated work day of each week • You may need to report to office on some Saturdays for staff meetings where you would be paid the same rate for the hours incurred • Own transport preferred • You may claim a reasonable amount of taxi fare or mileage, to and from the office, as well as for work related travelling. • You are expected to follow through with work assigned to you within agreed timelines • Probation period : 3 months • Rate : $15 per hour onwards Scheme 2 (Full time, CONTRACT OF SERVICE) • Monthly rated, 8 work hours per day (Excluding lunch breaks of 1 hour) Mondays to Fridays, alternate Saturdays 4 hours each • Group Insurance Coverage (Medical) • Paid Annual Leave 14 days, Sick Leave 12 Days, Hospitalisation leave 60 Days • Maternity / Paternity / Childcare Leave as per Singapore labour laws • You would be able to work from home, on site or outside of the office. You will need to report to office at least 3 days a week, inclusive of the first work day, and subject to job requirements where you may be needed in the office for more days. • Greater opportunities for personal growth • Own transport preferred • You may claim a reasonable amount of taxi fare or mileage, to and from the office, as well as for work related travelling. • Probation period : 3 months • Rate : $2500 per month onwards Work Tools For both schemes you will be issued with a company laptop computer and/or a mobile phone. Incentives Project-specific incentives schemes are inclusive of all staff, regardless if they are part time, subcontracted or full time employment contract. This will be on per project basis, and will be paid out in accordance to payment schedules of respective clients.
