Key Personnel is looking for someone who fits this job description....Contact Melissa for application and interview. 817-573-5200 keypersonnelgranbury@gmail JOB DESCRIPTION - Office Administrator PURPOSE • Facilitate weekly processing of invoices, customer payments, Deposits, Accounts Payable (Bill Payments), Hauler Payments, and Accounts Receivables • Marketing (to include customer/prospect mailers and tracking as needed), and other related office duties as required. • Provide Telephone Support for office as needed. • Utilize Quickbooks, Windows Excel, Microsoft Word, and other provided software as needed to accomplish office tasks. GENERAL DESCRIPTION • Create invoices for customers weekly, process COD customer invoices utilizing Quickbooks. • Weekly process hauler tickets or Hauling Company Vendor bills. • Weekly / Daily assist entering of vendor bills into Quickbooks. • Review Accounts Payable Weekly for the purpose of bill payment. • Customer communication to include customer statements, invoice copies, paid receipts, etc. • Maintain customer credit card compliance in accordance with PCI Compliance Regulations. • Process customer payments by input into Quickbooks and company scheduling software as needed. • Input new customer/vendor information into Quickbooks, create new customer/vendor files as needed. • Follow-up and track collections/invoice aging as needed • Answer telephone for office and interface to customers via telephone, e-mail, fax. • Assist in the preparation of office procedure forms and filing as needed. • Proactively initiate any office process changes to benefit the efficiency of office organizational structure. MINIMUM REQUIREMENTS: • 3 to 5 years Office Administration/ Management experience. • 2 to 5 years fast-paced / multi-tasking environment. • 1 to 2 years Quickbooks experience a plus. Computer literacy / knowledge required. Microsoft Office a plus. SALARY: $15.00/per hr. SALARY RANGE $12 - $18.00/per hour OPTIONAL BENEFIT: Sick/Vacation Pay at management discretion
