MAOZ is looking for an Outstanding Executive Assistant! MAOZ (maoz-il.org) aims to develop and advance change making leadership within Israel’s public sphere (public and social sectors). The organization’s main activities include recruiting, training and empowering professional values-based leaders in senior leadership positions within Israel’s public sphere while assisting such leaders to advance meaningful reforms for the benefit of Israeli society. MAOZ is searching for a professional and highly competent Executive Assistant to the Chairman of the Board. The Chairman spends approximately half of his time in Israel and the other half in the United States and the Executive Assistant will be responsible for managing his activities in Israel. Within this framework, he or she will manage communications with senior individuals and authorities in Israel and overseas and will be responsible for the planning, executing and management of groups of senior officials and business people, hosted by the Chairman, while traveling to Israel from abroad. The Executive Assistant will also serve as a “MAOZ stakeholder’s coordinator” and within this framework will be responsible for managing communication with senior individuals connected to the organization’s activities and the advancement of its vision. KEY RESPONSIBILITIES WILL INCLUDE: - Manage the active calendar of the Chairman, and help to ensure that the Chairman meets deadlines, appointments and events - Serve as initial contact for those contacting the Office of the Chairman, interact with a variety of individuals in senior positions, make judgment to triage, screen, schedule meetings and refer calls and emails appropriately and follow up with all tasks accordingly - Planning, coordination, preparation and execution of international delegation visits and complex events - Assure that all arrangements, materials, research, tools, and services that the Chairman may need for each event are available when needed - Arrange travel for the Chairman, including flight, transportation and hotel reservations - Coordinate and arrange logistics for numerous meetings and events Stakeholder’s Coordinator Responsibilities: - Maintain and follow up ongoing relationships with MAOZ stakeholders – prominent business and public leaders in Israel and the US - Responsible for planning and executing stakeholders visits and events - Draft, edit and complete a wide range of documents including formal correspondence - Drafting, editing, proofreading and designing English marketing materials - Stakeholders database management DESIRED SKILLS AND EXPERIENCE: - Bachelor’s degree from an acknowledged institution in Israel or abroad - Minimum of 3 years experience as a high-level executive assistant - Possesses superior relationship-building skills, displaying courtesy and professionalism in all communication and managing difficult or politically sensitive situations effectively - Sophisticated and sees the big picture, with ability to interpret subtle and nuanced situations - Strong decision-making capability, demonstrating ability to use accurate judgment and prioritize - Ability to maintain calm and poise attitude under pressure and shift priorities in a fast-paced organization - Ability to maintain a high degree of discretion in all aspects of the job - Superior accurate writing expertise, verbal communication proficiency (English and Hebrew at mother tongue level) - Maintain smooth workflow – organized and efficient with attention to detail - Multi-cultural background (American & Israeli preferred) - Highly resourceful team-player - Independent can do attitude, and proactive approaches to problem-solving - Flexibility and comfort with ambiguity - Availability to work during non-business hours (due to time difference between the US and Israel) Please submit resume in English to: [email protected]
