OFFICE MANAGER/FINANCE CONTROLLER Vacancy in Woodstock, Cape Town: Job Title: Office Manager / Finance Controller Reporting To: Managing Director & Research & Evaluation Manager Overall Job Purpose: The incumbent is primarily responsible for providing Financial, Administrative and Logistical support to the CC&DW Managing Director and team. This is an ideal opportunity for a pro-active individual with strong financial and general business skills and experience. Principal Job Responsibilities: Finance • Payroll preparation and presentation for processing • Creditors checks, authorisation co-ordination, preparation and presentation for processing • Debtors – management of the debtors book within company guidelines and standards • Ensuring financial policy, procedure and controls are in place • Contributing to project budget compilation and finalisation • Monitoring project budgets, reporting and providing support and advice where necessary • Support annual budget process and monitor all approved budgets over the year • Preparing information for accountants, liaising with accountants and supporting the achievement of all financial objectives (including Financial year end, monthly financial statements, trial balance, cash flow) Administration • General office management role including administration, support to the team, filing, oversight to ensure the smooth running of the office • Managing employee files internally and liaising with suppliers when appropriate • Contract management (includes drafting, co-ordinating authorisations, filing, monitoring and reviewing) and liaison with suppliers, consultants, clients and service providers • Tender submission oversight • Taking minutes of monthly management meetings (if administrator not available) Office Management • Procurement and stock control • Supplier liaison (e.g. IT support, HR support, Finance, caterers, stationers and other) • Supporting the office administrators when necessary – Supporting the receptionist function when and if required o Supporting the co-ordination of and arranging travel arrangements Supervision • Providing supervision and overseeing the Facilities team Fieldwork logistics • Oversee fieldwork logistics arrangements to ensure all runs smoothly Experience: • 10 years general administration experience preferable • 5 years book keeping experience essential • 2 years supervisory experience essential • Previous Quickbooks Accounting package experience advantageous Skills and Attributes/ Key Competencies: • Fully MS Office literate (i.e. Email, Word, PowerPoint, Excel) essential • Excellent communication skills essential (both written and verbal) • Drivers license essential (own transport preferable) • Interest in Development industry beneficial • Management experience beneficial • confident / professional • Exceptional interpersonal skills • Team player • Ability to work unsupervised • Ability to handle diverse activities (meet deadlines, prioritise, co-ordinate) • Time management skills essential • Confidential • Numerate • Attention to detail • Follow through • Passion for client delivery and service Please send your CV to MARAISBUTTON AND ASSOCIATES: Email: [email protected]
