Office Manager/PA/Project Manager (Sandton) KEY ATTRIBUTES • Overtime when necessary • Flexibility and attention to detail • High code of business ethics • High level of confidentiality and loyalty • High level of objectivity Parameters of the Job: • Bookings for flights, accommodation and car hire for the CEO • Ordering of groceries, office supplies and stationery for the CEO • Operate within specified budgets and utilisation of purchase orders • Managing CEO diary and task management • Manage/view Exco’s diaries on behalf of the CEO Planning required for the job: • Strategic • Cycle QUALIFICATIONS & EXPERIENCE • Grade 12/Matric • Secretarial Diploma/Office Management Diploma/Project Administration Diploma • 10 – 15 years experience in any of the above disciplines or a combination of each • Computer literacy and proficient in MS packages • Strong verbal and written communication skills • Excellent interpersonal and relationship building skills • Ability to mobilise resources to achieve deliverables • Display tact, diplomacy and objectivity • Self-starter with strong organisational skills • Teambuilding skills • Time management skills RESPONSIBILITIES WILL INCLUDE, BUT NOT BE LIMITED TO THE FOLLOWING: • To provide personal assistance to the CEO timeously and accurately; • To assist and oversee all administration for the organisation; • To effectively and efficiently manage the office environment; • To manage the relationship between the CEO and expectations of the Exco team; • To embrace the ethos of the organisation, be considered a team-player and to treat colleagues with respect; • Agenda’s submitted at least 48 hours before meetings; • Return all customer calls timeously; • Ensure all meetings packs are prepared and sent out at least 48 hours in advance; • Schedule all performance appraisals and reviews for Exco with the CEO; • Assist the CEO with all required internal and external communication; • Assist the CEO with all personal requirements; • Ensure all business and personal documentation is filed timeously and accurately and kept current; • Ensure accurate and proficient typing of correspondence,i.e. letters, faxes, reports, e-mails; • Assist with compilation of presentations; • Manage the procurement of all CEB signage; • Distribution of birthday card or mail from CEO office; • Manage catering for organisation; • Show initiative; • Go the extra mile and show dedication; • Show enthusiasm; • Show problem solving abilities – deal with crises; • Deadline driven; • Meticulous – grooming and behaviour; • Share ideas in a constructive and positive manner; • Keeping others informed of work progress, timetables and issues; • Find mutually acceptable and practical business solutions; • Respect the diversity of the workforce in actions, words and deeds; • Good interpersonal skills;
