Openings for the Position of Personal Assistant Job title: Personal Assistant • A graduate from accredited college or university • Minimum of 3 years related experience supporting prominent individuals • Prioritize execute tasks and multi-task effectively • Strong English communication skills, both written and verbal • Proficiency in all areas of MS Office, Excel, PowerPoint ,must be tech savvy • Professional mindset and the utmost discretion • Ability to work independently and as part of a team • Detail oriented with exceptional organizational skills • Flexibility with hours and scheduling; available to work overtime as needed • Well presented Job Responsibilities • Dealing with incoming email, faxes and post, often corresponding on behalf of their manager; • Liaising with suppliers and other staff • Carrying out specific projects and research • arranging appointments • taking messages • preparing letters, presentations and reports • Filter general information, queries, phone calls and invitations to the MD by redirecting or taking forward such contact as appropriate. • Ensure the MD is fully briefed on, or prepared for, any engagements she is involved in. • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the MD. • Prepare correspondence on behalf of the MD, including the drafting of general replies. • Minute general meetings as required and complete research on behalf of the MD. • Keep and retrieve files. • Manage and maintain the MD’s diary and email account. • Filter emails, highlight urgent correspondence and print attachments. • Organize inbound emails into the • Appropriate folders and any relevant information to be copied into the correct file on the hard drive • To attend supervision, training and meetings as and when required.
