Pardon the convention oriented rant.... Let me start by emphasizing that I LOVE going to conventions, especially the smaller events held on university campuses. But its very frustrating to continually run into a scenario where the potential guest is expected to front the travel costs. On top of that, the reimbursement, for some reason, cant be presented during the actual event, but instead gets mailed after the fact (even with months of lead time). I understand that university politics and bureaucracy make organizing these events more cumbersome than they need to be, which is unfortunate. And Ive been very lucky that no institution has ever stiffed me. If you are reading this and staff a university run event, please send the message to your fellow organizers that a standard appearance agreement involves the institution handling the flight/hotel booking, and any compensation/reimbursement is handled either beforehand or in person at the event. Placing the financial burden upfront on the potential guest just makes it awkward. We dont always have the money to front those kind of costs, and of course the closer it gets to your event, the more those costs increase.
