The Conference Call meeting Note: Date: 9/25/2013 Time: 8:00 pm Meeting Agenda: We decided for each Member to pay $50.00 per person. See below for justification as to why that amount should be paid? Back Pack Fundraiser: The group would like to donate 100 back packs to our kids with pens, pencils and note books. We will purchase the Back Packs, Pens, Pencils and Sharpeners (the sharpeners will be in each class) and they will be bought from here. Note Books which will be purchase in Liberia because of the weight. Gbomai will be taking the Back Packs and other items with her to Liberia. We have to compensate her for access baggage which is about $250.00. Receipts will be given to the group. We are starting this project to be part of the healing and academic process of our Children at the school. To let them know that we believe in them and that we care and the importance of a sound education. We may not be there right now but, with small strides like this we will definitely get there. Our ultimate goal will be to form an Alumni Association to support the School as well as the Students Discuss time and venue for Reunion next Year in Maryland, from Committees The conference call started about 8:20 pm Attendance: Jerusha Frankfort-Segbe (Me) Charles Porter Bernice Clark Madison Moore Evangeline Yankey Mator Borsay Gbomai Bestman-Johnson Gonda Watson Charles Porter called in at 8:00pm as was the time agreed upon but as usual there was no one but me on the line so he excused himself as he had work related meeting, he said he would email his question to me and Gbomai for her to ask the School Staff and students. As everyone else joined the line I informed them of Charles’ excuse and we commenced with the meeting. We informed and explained the Back Pack Fundraiser project to Bernice and Mator who were unable to attend the last meeting we had where we brainstormed and came up with this project. We explained that the $50 fee per member was to purchase the various items for the project as well as assist with the shipment of the items. They both understood and agreed with the project. Gbomai is scheduled to leave to go to Liberia on (9/26/2013) Thursday and we were having the Conference Call to come up with questions for her to ask the School Staff and Students to figure out how we can help them. We went over questions we had previously discussed, what the students need to succeed, how we can help the Teachers to be more successful, how we can improve the sanitary condition of the school, what kinds of text books they need and any other manner in which the Alumni Association can support the school. Gbomai will also take pictures which we will post on our Alumni Association page on Face book for all to see. We all agreed that the end of the Month (October 31st) will be the deadline for the $50 payment. This will allow us time to order the supplies and Gbomai will take them to Liberia for us. Bernice asked me to in-box my address to her and she would mail me her $50 contribution. We proceeded to discuss the Reunion for next year (2014). Mator suggested a July 4th weekend. We all agreed as it will be easier for people to get the time off to attend since it is a holiday weekend. We discussed the activities for the weekend: Friday (July 4th) will be the Meet and Greet Saturday (July 5th) will be a Working Meeting/Brunch Visit Historical Sites Dinner/Dance (7:30 pm – 12:00 Midnight) Sunday (July 6th) will be Family Cook-Out We will find out how much it will cost to rent the Hall for the entire day on Saturday which will allow us to use it for our Working Meeting/Brunch and in the evening for our Dinner/Dance. For the Dinner/Dance we decided to sell tickets to help us raise funds for the Association. We agreed the ticket prices will be: Patron $25.00 Couple $15.00 Single $10.00 Since the community Halls in Maryland closes at 12:00 Midnight we can have an After Party at someone’s house. The Dinner Dance will be from 7:30 – 12:00 midnight and the after party can continue from then on. As for the Food we decided the women will be in charged of the cooking and if you (a woman) feel you cannot cook then you can contribute towards the food and the Men will take care of the drinks. We will discuss the Dinner/Dance Menu later and ask for volunteers to prepare the dishes. We ask that everyone please play an active role as we will need everyone to work on various committees, if there is something you know you are good at and will help our Reunion weekend be successful please do not hesitate to volunteer as this will benefit all of us and our beloved Alma Mater. We need someone to host the Meet and Greet in Maryland. We discussed a tentative menu for the Meet and Greet: Tentative Menu: Finger Foods Pepper Soup Dried Rice Fried Fish Gbomai volunteered her home for the After Party as the Hall we are trying to get is close to her house and the Cook-Out or we can have the Cook-Out at a Park in the area. We will research the cost of renting the Hall and finding a Park and then we will know how much to tax each person. We asked Gonda to design a T-Shirt for us which we will ask everyone to purchase and wear at the meeting on Saturday and even at the Cook-Out. He agreed and asked us to send him the wording and design, we also asked him to help with the printing of the tickets for the Dinner/Dance as well, we will get the information to him so he can get us a quote on the price and quantity of the tickets we need. We all agreed to have a follow up conference call on Sunday November 3rd since Gbomai will be back from Liberia and it will give everyone a chance to pay their $50 for the backpack and we can discuss the information Gbomai will have on the school.
