The Executive Assistant for Chairman, CEO office and Board Secretariat provides senior administrative and project coordination support of a highly confidential nature to the Chairman, CEO and BOD of Future Media and Telecommunication Group. Main Duties & Responsibilities: 1. Administrative Support a. Provide a high level of administrative assistant through the facilitation of communication on their behalf (follow-up with letters, memos, reports, e-mail, phone calls) b. Ensure the coordination and prioritization of the schedule and commitments. c. Prepare materials in advance of meetings. d. Ensure the organization of the CEO’s office with respect to files and resource materials including physical and electronic records. e. Communicate with members of the Board and other stakeholders on behalf of the Chairman. f. Act as liaison between Chairman and Senior Management to ensure appropriate coordination and follow-up on day-to-day issues. g. Organize and maintain records and files at the organizational level, including contracts and legal documents. h. Prepare budget for Executive Office with Finance Department. i. Organize Meetings, as required (in person planning, conference calls). 2. Executives Business Travel a. Handle all business and personal travel arrangements for the Chairman, CEO and BOD. 3. Public Relations: a. Preparing press releases, announcements screening media access to the board of directors and monitoring media and social networking websites for posts that discuss or mention the organization. b. Arranging presentations, workshops and conferences. c. Organizing functional heads’ meetings with the BOD. d. Coordinating Chairman, CEO’s events. Qualifications; - Bachelor’s degree or higher managerial studies. - Fluent in English and French is a must. - Must be a resident of 6th of October city. - Not less than 10 years of administration experience with Boards of Directors and Committees of the Board. - Excellent user of Microsoft Office and Windows with demonstrated proficiency in Word, Excel, PowerPoint and PDF files.
