Thursday, Jan, 30th. Attending : Sengkeo, Khapet, Dam, Memai, Kham, Boun, Krai, Per, Siengnoy, Zoé, Adeline, Nico. Absent : Ham, Hom, Home. Introduction : Last meeting was a general presentation of what changes were to be made at Saelao (partly based on a coop organisation and principles). Now, first monthly meeting = what has been done in the last month (January) and what we plan on doing this coming month (February). JANUARY : _ The building of a wall around the pond in December partly impaired the chicken coop and the latter was repaired in January (fence, door, bridge, and stairs). _ The forementioned wall needs to be raised a little. We have worked on that in January and will keep doing so in the next month. _ The awesome (Editors Note) library got more books and was re-organized. _ The rice that was not in bags yet is now and a rice storage was built in the workshop (to keep it away from the rain and rats). _ We finished planting peanuts. _ New compost piles were made. _ We painted the kitchen bins to show what type of waste goes in which bin. _ A new system was set up to organize every day life, the garden and construction, and to make sure new ideas and projects dont fall into oblivion. We now use the blackboard on the outside wall of the kitchen, the smaller one in the kitchen and three booklets (Organisation/Everyday Life ; Compost and Garden ; Construction). A calendar will be hang in the kitchen BUDGET : The 2013 budget was studied and was re-organized. A financial scheme will be available for anyone to see on the Saelao website, a paper copy will be shown to volunteers on arrival, another one will be in the Organisation Booklet. The emphasis was made on the separation of donations from other incomes in order to ensure that this money would go to Family Support and Community Fund. The former being Saelaos long lasting effort to help the families that live and work at Saelao and the latter was created for Nathong village and the well-being of its inhabitants. Donations include the 300,000 kips from volunteers paid on arrival as well as any direct donations. However, if donators (non-volunteers) specify they want their money to go to a particular project, we will make sure their money goes in that particular project. The wages were the second expense we worked on. Each staff member will get a set salary every month. We raised the lowest ones and created one for an existing staff member. We also took into account the fact that a position is to be created soon for a full-time gardener. (We asked our staff if anyone was interested in filling that position and as no one was, we asked them to ask in the village). To conclude on the budget, after wages, the expense that we felt should be considered a priority is the Investment in the Project, and any money we would have left at the end of the month will be put into a Saving account which will be used only in case of unexpected emergency. FEBRUARY : _ Fix one section of the road to Vangvieng. _ Fix the roof and floor of our restaurant. At least decide how we do it and gather all the material we need. _ Incinerator : fix the roof (threatening to collapse). _ Take down the old dorm for good and keep the parts that could be re-used. _ Follow up the use of the big blackboard on which all existing projects and tasks can be seen (Erase whats done, Add new projects, etc.) _ Watering the garden changed from a staff task to a volunteer task. New task to be given to Siengnoy and Per after discussion with them. They could still help in the garden when around. OTHER THINGS THAT WILL HAPPEN IN FEBRUARY : _ We will be working on Staff Responsibilities through interviews with each member of the staff. We will ask them and discuss with them about how they define their job and responsibilities. A report will be written down in the Organisation Booklet (in the form of a communication map), so that volunteers should know who they can go to for any question they might have. _ We will use the recently made calendar and mark down any important things planned to happen at Saelao as well as staff days off or leaves. _ Two French volunteers are here for their internship and they are setting up a two day event. The name remains to be found but it consists of a Festival in Nathong village and in Phon Ngen village (respectively on Feb, 15th and Feb, 22nd). Acting activities will take place before international food is served for lunch and sustainable techniques will then be presented in 5 different stands/booths. _ The new wages were then presented (in kips per month): Sengkeo = 5,000,000 Ham = 40,000 / worked day Dam = 800,000 Memai = 600,000 (raised from 450,000) Boun = 350,000 (raised from 250,000) Hom = 250,000 (rounded up from a 242,000 average) Kham = 250,000 (raised from 200,000) Krai = 150,000 (just created) Krai was then officially made a staff member and the gardener position was discussed.
