Tools for Communication with the advisor: A- Scheduled Appointment: When you need to spend some time with your advisor to discuss course scheduling, registration, study plan ….. etc. you should consider : • Appointment should be during advising days – hours • Appointments should be scheduled by email • Appointment last for 15-30 minutes. • Appointments are scheduled at least one day in advance. • Prepare for the meeting • Be prepared to take notes • Turn off your cell phone (or put it on silence mode) Cancellation of appointment: A two hour prior-notification is requested by email No- Show Policy: this policy is not meant to be punitive, but to be fair and equitable to all students. During peak advising periods ( Add & Drop week and beginning of early registration period), appointment times are premium. If you do not notify the office two hours in advance that you are unable to keep an appointment, your absence will be noted as a “no-show”. After two documented no-show, you will not be able to schedule an appointment until after two weeks from your appointment. B- Email: When you have a short, on-line question that requires a short on-line answer; OR when it’s physically difficult for you to come in person for an appointment. You need to send an email, taking in consideration the following points: • Use your QU account ( [email protected]) • Use a clear subject/ title such as “ Question about my schedule” • Include your full name in the signature of your email, your ID and your major • Make sure to include the CRN’s of any classes you are having difficulty registering for, along with any error messages you may be received • Be professional in your email. Proof-read and spell check • Keep the question short and to the point • Allow one business day for a response ( weekends not included ) and consider working hours • Write in formal Arabic or formal English, do not use slang C- Walk-in : • Only for urgent issues • Consultation is available on a first-come, first-served basis D- Telephone calls: • When you need to know advising hours, or another very quick general question that requires a brief/quick answer • The telephone should NOT be used for questions such as “What should I register for an elective?…especially if you have never been in to our advising office before. These questions seem deceptively simple, but may entail large amounts of information that are best explained in person. • Call during working hours • Ask your question and be direct • If the advisor is meeting with a student, your phone call will go into voicemail. Please leave your name, Major, along with the nature of the question you need to ask. Speak slowly and clearly. • Expect a reply to your question by email (within 24 hours excluding weekends and holidays) • You may want to use e-mail for a faster response time overall.
