VACANCY - WITBANK (3Month Contract) Administrator Requirements: Matric Experience as an administrator Proficiency in English Proficiency in Microsoft Office (Word, Excel, Powerpoint etc.) Duties & Responsibilities include the following: 1. Administrative duties • Provide general administrative support including word processing, Excel spreadsheets, preparation of graphics and tables and creation of PowerPoint presentations. • Draft, format and final proof correspondence and other documents using MS Office and other software programs. • Coordinate internal review and final submission of documents. • Schedule regular team meetings and liaise with the facilities staff to arrange meeting rooms and conference calling. • Set up for video- and audio-conference calling equipment and other equipment as needed. • Draft minutes of team meetings accurately and ensure they are provided in a timely fashion. • Establish and maintain project filing system, both paper and electronic. • Assist with completion of administrative forms as required, including procurement request forms, check requests, meal conference forms, etc. • Plan, coordinate, and prepare the production and distribution of large documents including proposals, reports, tables, graphics, and other materials using various software programs. • Organize, assemble, reproduce, bind, and distribute reports, proposals, correspondence, and other materials. • Assist in development and maintenance of information management systems. • Perform internet research as requested. • Monitor, sort, and distribute mail incoming faxes, fax outgoing mail, scan and photocopy as required. 2. Travel and Meeting Planning • Plan travel for the project staff as needed. • Handle all communication with travel team, external and internal contacts, travel accounting, and reports team to ensure all travel arrangements are made and any post-travel invoicing is completed. • Coordinate meeting schedules. • Coordinate arrangements for guests, conferences, workshops, meetings, and other events as requested. • Plan retreats, workshops, and meetings upon request. • Support the PADM in management of the vehicle schedule and monitoring of vehicle log-book. 3. Communications • Help team as needed with graphics, layout, design, and production of project documents. • Coordinate review, printing, and translations. • Produce documents by contributing layout, copyediting, graphics, and creating PDFs. • Contribute to program promotion materials, reports, and proposals. • Provide final proofreading as needed. • Support development of project websites as needed. 4. Finance and Administration • Provide general support for financial administration as requested. • Assist with project administrator with subawards and consulting agreements including submission and follow up of agreement requests, processing payments such as check requests and wire transfer requests, preparing budget or tracking reports as requested.
