Primary Responsibilities - Create visual guidelines for construction purposes. - Draft technical details. - Specify dimensions, materials, and procedures. - Draw in minute details of structures. - Consult technical handbooks and tables while in drafting phase. - Use Computer Aided Design and Drafting systems to prepare drawings. - Create and store drawings electronically. - Program drawings into automated manufacturing systems. - Prepare variations of design. - Explain concepts to construction workers. - Prepare engineering drawings that detail plans and specifications. - Develop wiring and layout diagrams used by workers who erect, install, and repair electrical equipment and wiring. - Prepare drawings and topographical relief maps to be used in highways, bridges, pipelines, flood-control projects, and water and sewage systems. - Create designs used in the layout, construction, and operation of oil and gas fields, refineries, chemical plants, and process piping systems. - Prepare drawings showing the detail and method of assembly of machinery and mechanical devices. KNOWLEDGE, SKILLS AND ABILITIES: 1 - Knowledge: The incumbent must have proficient knowledge in the following areas: - English language. - Office administration. - An understanding of relevant legislation, policies and procedures. 2 - Skills: The incumbent must demonstrate the following skills: - Effective verbal and listening. - Stress management skills. - Time management skills. - Keyboard skills. 3 - Personal Attributes The incumbent must also demonstrate the following personal attributes: - be honest and trustworthy - be respectful - possess cultural awareness and sensitivity - be flexible - demonstrate sound work ethics 4 - Environmental Conditions The Band Office may be a busy facility. The Executive Secretary may have to manage a number of projects at one time, and may be interrupted frequently to meet the needs and requests of residents, clients and contractors. SCOPE: The Executive Secretary reports to the Assistant General Manager and is responsible for providing senior level of secretarial and clerical services for the Chief and the organization in general. RESPONSIBILITIES: 1 - Secretarial responsibilities: a - Provide office support services in order to ensure efficiency and effectiveness within the Band Office Main Activities - Receive, direct and relay telephone messages and fax messages - Direct the general public to the appropriate staff member - Maintain the general filing system and file all correspondence - Assist in the planning and preparation of meetings, conferences and conference telephone calls - Make preparations for Band Council and committee meetings - Maintain an adequate inventory of office supplies. - Respond to public inquiries - Provide word-processing and secretarial support - Type confidential documents on a word processing system b - Provide support to the Chief and the organization in general. - Assist the Chief and the organization in general requested. - Provide administrative services for the Chief and the organization in general c - Perform other related duties as required. 2 - Document controlling responsibilities: - Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence. - Input document data into the standard registers ensuring that the information is accurate and up to date. - Generate the various document control reports as required. - Typing of site documents, and follow up of all the site needs - Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable - Maintain updated records of all approved documents and drawings and their distribution clearly - Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability. - Maintain the files and control logs as required by the project. 3 - IT Responsibilities: - Installing and configuring computer hardware, software, systems, networks, printers, scanners and more. - Planning and undertaking scheduled maintenance upgrades. - Talking to clients and computer users to determine the nature of problems. - Responding to breakdowns. - Investigating, diagnosing and solving computer software and hardware faults. - Repairing equipment and replacing parts. - Supervising junior engineering and technical staff. - Agreeing call-out timescales. - Obtaining replacement or specialist components, fixtures or fittings. - Ensuring compliance with health and safety legislation. - Checking computer equipment for electrical safety. - Maintaining records of software licenses. - Managing stocks of equipment, consumables and other supplies.
