Vacancy - Logistics Assistant VSO is the world’s leading independent international development organisation that works through experienced and high-capacity volunteers to fight poverty in developing countries. VSO Rwanda is looking to recruit one proactive and highly skilled Rwandan to support our Logistics and operations function. Key Responsibilities Provide housing support to international volunteers (work with brokers to identity houses for new volunteers as per VSO policy and procedures; negotiate contracts with landlords; manage housing database and update it on a regular basis) Maintain an inventory of VSO provided assets at volunteers” houses Manage VSOR fleet : this includes vehicles and motorcycles by ensuring that insurance is renewed on time; service is done on regular basis, log book is used all the time by approved VSO drivers; compliance with national laws and; ensure that all necessary updated documents are in each vehicle all the time as well as tool boxes and first aid kits as required Coordinate vehicle movements in response to programme tour needs, daily local town and country-wide logistical needs and specific VSO events Be prepared to drive staff to field as and when required and asked for Keep all vehicle files updated with relevant (daily check forms, fuel report, service report, copy of insurance, yellow cards, etc). Monitor vehicle maintenance (cleaning, fuel filling, tyres etc.) and ensure regular service and repairs are undertaken at approved mechanics. With support from Support Services and IT Coordinator evaluate the service provided by the garage twice per year and come up with recommendation Provide monthly fuel report and send it to Finance department before Month end Make analysis of VSOR transport costs and needs at least once a month and come up with recommendations, if necessary Ensure that generator fuel and cash power are always available and manage their usage. Maintain files relating to all aspects of vehicle maintenance and management. Maintain files of all aspects relating to houses • To consistently ensure that VSO’s vehicle and driving policies and good practice are followed at all times To promptly report vehicle running problems or damage to the vehicle to identified personnel (currently the Logistics Assistant) in VSO’s Administration Team Coordinate office equipment repairs when required Drive in Kigali and outside of Kigali as necessary. Collect mail from the post office on regular basis Compensation: 2 years contract, renewable based on availability of funding and organization needs Gross monthly starting salary up to: 460,486 Rwf 100% medical insurance for staff and dependents 5.5% of private pension benefit/ provident fund 37 days annual leave including public holidays You will need to have a professional certificate or degree in a related subject preferably in Administration, logistics or management; demonstrable experience in international organization preferably in Logistics department. Excellent interpersonal and planning skills are essential along with the capacity to work as an effective team player; self-motivated, with attention to details and pro-active, with strong communication skills (fluency in English and Kinyarwanda) and very good computer skills.
