Vacancy at WFP: Title: Senior Administrative Assistant Grade: SC6 Duty station: Amman, Jordan (Not Transferable to another Location) Number of position: 01 Closing date: 04 January 2015 Initial Duration: 12 months (renewable) ==================================================================== Supervision: Under the general supervision of a Regional Director, Country Director, Division Director or his/her designate, the Senior Administrative Assistant reports to a Head of the Office or a Chief. Accountabilities: Within delegated authority, the Senior Administrative Assistant will be responsible for the following duties: (These duties are generic and thus are not all-inclusive nor are all duties carried out by all Senior Administrative Assistants) Assist in evaluate and monitor administrative services and recommend changes in policies, system and procedures to ensure services aligned with changing business needs and objectives; Maintain and track all WFP owned property to include, registering the assets in WFP’s official management database, perform an annual asset physical count, and produce an annual report of this exercise that details methodology and outcome; Oversee the administrative of common premises to ensure efficient, cost-effective and timely service provision and cost recovery; Supervise the gardening, cleaning and maintenance contractors to ensure timely maintenance and repairs are undertaken on WFP’s premises; Manage the office stationery to include producing monthly and periodic consumption reports support reorders; Oversee office equipment for the purpose of schedule routine maintenance and repairs; Assist in identifying disaster and business continuity sites for WFP’s operation in Jordan; Oversee conferencing services; Oversee the archiving of records in accordance with WFP’s record retention policy; Perform other related duties as required. Minimum qualifications: Education: Secondary school education. Training in administrative field supplemented by commercial or related courses is desirable. Experience: : At least five years of progressively responsible work experience, including at least three years in administrative services. At least one year at G5 level or equivalent. Page 2 Knowledge: A complete and In-depth Grasp of Office Administrative practices and procedures; Ability to make a thorough analysis and draft clear and concise reports; Proficiency in MS office (Word, Excel, PowerPoint and Outlook); Working knowledge of UN travel, procurement and administrative rules and regulations and WFP software packages and system is an asset. Competencies: Resourcefulness, Initiative, Maturity of judgment and tact; Strong organization and coordination skills; Ability to analyze data, draw conclusions and recommend a course of action; Ability to prioritize work and handle multiple tasks within tight timeline; Ability to execute tasks pro-actively with minimal supervision; Ability to plan, coordinate and monitor the work of subordinates, and provide sound technical advice to managers; Ability to establish and maintain effective working relationships with persons of different national and cultural backgrounds. Language: Fluency in both oral and written communication in English/Arabic. Expected Results: With initiative and judgment produces organized, quality technical and specialized work with well documented records and with well analyzed data; Demonstrated responsibility for completion of specialized complex processes and activities requiring some interpretation of rules and practices; Recommends an appropriate course of action to staff at various levels within assigned function; Responsibility is taken for completion of processes and delivery of consistent service. Unforeseen situations are addressed by seeking advice and guidance from supervisor, as necessary. Work is integrated with other specialists or entities; May assign work to staff in lower grades. Critical Success Factors: Identifies and resolves operational problems with substantial independence. Ability to obtain or give factual information of a non-routine nature involving interpretation of facts and requiring clarity of expression. Ability to train other staff regarding relevant work responsibilities. Ability to work in a team environment and coordinate assignments to achieve consistency in service delivery and common goals. Ability to maintain relationships and perform as a reliable service provider or partner; Ability to analyze and recommend a course of action to staff at various levels.
