Vacature Morning Tears: Program Support Manager 1. About Morning Tears Children are innocent to the crimes of their parents but often lose everything when their parents are sent to prison. We believe they deserve a fair chance in life to develop their full potential and enjoy their basic rights as a child. Founded in China in 1998, Morning Tears is a non-profit organization which stands up for children of convicts via awareness raising and capacity building. We work very constructively with the Chinese authorities at all levels. Our work in China has a national level impact on childcare and protection. This was also recognized with several (Chinese) awards including the 5-year prestigious National China Charity Award in 2010. Our principles: non-profit, non-religious, non-political. Morning Tears is officially registered in nine countries as a non-profit organization. The Morning Tears Alliance is the umbrella organisation for the national level and independent non-profit organisations, named ’Morning Tears [Country]’. The International Secretariat is the executive body of the Morning Tears Alliance which is headed by the Executive Director. The Program Support Manager reports directly to the Executive Director / China Country Director. The BJ office consists of a part-time administrative officer (new position) and a non-office based part-time accountant. There is always one full time intern. Furthermore, the office can rely upon the support of a group 8 – 10 dedicated volunteers. The Liaison Officer also works from the BJ office but directly in support of the Executive Director. The PSM works in close cooperation with the SH Office Manager. Morning Tears can furtermore rely upon the in-kind pro-bono support of various corporate partners for legal, financial and marketing needs. 2. Responsibilities The Program Support Manager is responsible for the smooth functioning of the international and Chinese operations of Morning Tears in the following areas Fundraising / donor management □ Advance the Fundraising Strategy/Donor Management Plan □ Define and communicate fundraising targets / need list □ Pro-actively explore fundraising leads/opportunities/RFP’s □ Coordinate/write fundraising proposals □ Assist MT countries with their fundraising efforts/challenges □ Ensure donor accounts are well managed (incl. handling questions, reports etc.) □ Maintain & update the donor management data base (in Salesforce) Financial Management □ Responsible for all aspects of financial management (accounting, budgeting, reporting, internal controls) □ Coordinate the accounting process to ensure the bookkeeping is accurate and up-to-date □ Ensure timely (salary) payments and (international) bank transfers – maintain cash flow □ Coordinate donor earmarks / financial reporting to donors □ Update the financial manual when necessary Location: Beijing with travel in China (incidental travel abroad) China Representative Office & International Secretariat Hrs/week: 40 hrs / full time Starting date: In mutual agreement HR □ Hire/supervise BJ office staff & volunteers □ Ensure volunteer capacity matches needs □ Ensure all necessary HR policies and tools are in place for the smooth functioning of the organization Projects □ Ensure contractual compliance / compliance with donor (incl. EU) requirements □ Financial reporting □ Pro-active advice the ED on project requirements / needs from an operational perspective to ensure legal, donor or moral compliance. PR / Communication □ Execute / advance Communication Strategy □ Ensure communication tools / hand-outs etc. are available □ Coordinate the Annual Report □ Maintain website / social media / Salesforce (internal) □ Coordinate and contribute to the general newsletter(incl. review translation process) □ Manage press inquiries / interviews (usually by ED, incidentally by PSM) □ Proactively drive internal communication to ensure everyone is well informed Organizational □ Support the MT countries, where needed, to ensure that they can focus on their core task: awareness raising / fundraising – avoid duplication of efforts; □ Contribute to the organization of the Annual Alliance Board Meeting (30/31 Oct 2014 _ Netherlands); □ Contribute to the overall strategic direction of Morning Tears from an operational point of view. 3. Requirements We are looking for a professional candidate who enjoys a diverse and challenging position in a non-profit organization in China. He/she ideally posses the following qualities: University degree (Bachelor / Master) with min. 2 years of work experience; experience in a non-profit organization / corporate environment is an asset. (This position is not suitable for graduates directly from university. Applications without the desired min. of 2 years work experience will not be considered). A good command of English (written and spoken) is essential, Mandarin and other languages are an asset; Financial management / fundraising experience highly desired; Experience with EU / large donor grants an asset; Experience in motivating & managing staff highly desirable; experience working with volunteers a strong asset; Excellent networker, strong communication / presentation skills with attention for intercultural differences; Can identify oneself with the mission of Morning Tears and our values; non-political, non-profit, non-religious; A professional and reliable representative for Morning Tears in external meetings & (media) contacts; Desired personal qualities: results-oriented, problem solver, creative and flexible. Funding for this position is secure till at least 1 Dec 2015. A longer term commitment from the candidate is much desirable. Please note, Morning Tears cannot assist with visa arrangements and the candidate is required to have a valid visa at all times. 4.
