SAFETY AND SECURITY DIRECTORATE SECRETARY (STAFF MATTERS) (FIRE AND EMERGENCY SERVICES) POSITION CODE: 5558 Salary R141 492 – R154 416 per annum (Basic salary only, excluding benefits) In compliance with the Nelson Mandela Bay Municipality’s Employment Equity Plan, preference will be given to suitably qualified Coloured (male) applicants. Requirements: • Secondary education. • Computer literacy. • Up to twelve months’ relevant experience. Competencies: • Ability to type 45 words per minute. • Bilingualism/Communication skills. As part of the selection process, candidates may be tested on any requirement, skill or competency. Summary of duties: • Checking and processing staff-related documentation for the Sub-directorate to ensure that it is correct and properly implemented by: o Ensuring that staff-related documents, such as leave applications, standby/overtime/shift allowance claims and acting allowances are completed correctly and submitted for implementation. o Coding leave applications and forwarding same to Treasury for inputting, maintaining an internal database of leave information and filing leave forms. o Completing Clearance and Service Certificates for staff members. o Distributing pay-slips for all staff members. o Keeping records and submitting IOD-related documentation. o Preparing and processing timesheets for fortnightly paid staff, which involves obtaining the details of hours worked and submitting the same to Budget and Treasury. o Maintaining personal files for certain levels of Fire and Emergency Services staff. o Monitoring excess overtime worked in relation to attendance registers, for compliance with legislation. • Answering telephone calls and taking messages in the absence of officials. • Operating a personal computer to produce general correspondence, reports, emergency procedures, agendas/minutes, and brigade notices. • Saving all data into the appropriate files/directories/discs. • Transcribing text from notes/written drafts/dictaphone tapes to produce correspondence/reports, etc. • Processing motor vehicle accident and damage/loss of municipal property reports. • Maintaining a filing system of documents. Fringe benefits will include membership of a Retirement Fund, Medical Aid Scheme, Group Life Assurance Scheme, participation in a Housing Subsidy and Car Schemes (subject to the conditions of the various Schemes), and normal leave and sick leave benefits. Proof of academic qualifications: - All applications must be accompanied by certified copies of academic qualifications. - Short-listed candidates will be required to produce their original academic qualifications at the interview. - Should the necessity to determine equivalence of qualification and/or the verification/confirmation of same be required, this should be established via the relevant verification authority and the responsibility will rest with the applicants themselves.
