We design, engineer and manufacture bumper fascia systems; exterior trim; modular systems; class A body panels; and structural components for automotive, commercial truck, consumer, and industrial markets. Job Introduction The Executive Assistant performs full confidential, secretarial and administrative duties for one or more executives and efficiently coordinates and organizes a multi task workload and initiates follow-up actions. Major Responsibilities - Type, revise, proofread, edit, and distribute memos, reports, letters, presentations and other documents utilizing word processing, spreadsheet or presentation software applications - Compose, type, and edit routine correspondence - Answer and screen telephone calls directing them to appropriate personnel - Maintain itineraries and schedule appointments as needed - Arrange travel and luncheons for meetings and conferences - Receive and interact with incoming visitors - Assist with operating expense analysis for IT budget planning - Review operating practices and implement improvements where necessary - Monitor, respond to and distribute incoming communications - Organize and maintain correspondence files as needed - Provide administrative services such as copying, faxing, ordering of supplies, etc., as needed - Maintain and administer department’s IT capital expense tacking and preliminary review - Coordinate and liaise on software license offerings between Global IT, Group office and Divisions to ensure license compliance (Microsoft, antivirus and web & email filtering) + CAD, CAE software license - Administer IT Managers’ access to MVLS; coordinate and control Microsoft group benefits Purchase processing, as per policy (Capital expense, purchase order, invoice processing and maintaining related databases) - Provide back-up for document control coordinator and ensure practices/ procedures are followed - Provide relief for receptionist on a rotating basis with other administrative staff - Conduct research, assemble and analyze data to prepare reports and documents - Any other appropriate duties as assigned by the Director General Information; - Requires dealing with and communicating to individuals at all levels of the organization, suppliers and customers. - Requires handling of confidential information related to security, contracts, employment letters, resumes etc… - Requires problem solving and decision making skills related to direct user support and training - Requires consensus building in a team environment - Negotiation and facilitation skills are an asset Knowledge and Education Bachelor’s Degree or equivalent professional certification formalized educational program specializing in administrative skills preferred. (Equivalent combination of education and experience sufficient to successfully perform the essential duties of the job). High school diploma or recognized equivalent required. •Highly proficient in Microsoft Office Suite Programs – Word, Excel, PowerPoint and Access. •Superior knowledge of email applications and calendaring management. •Superior organizational and time management abilities with excellent communication skills, both written and verbal. •High degree of detail orientation and high level of confidentiality. •Must be a team player, highly motivated, experience in working with a high degree of confidentiality, discretion and integrity in all aspects of the job. •Proven ability to take initiative and work independently in a fast paced environment; under pressure of deadlines while providing a high degree of accuracy and accountability. •Exercise initiative with competence and common sense while facilitating effective internal and external working relationships. •Must consistently demonstrate a high degree of flexibility and versatility Work Experience Minimum of 2 years executive level administrative experience in an office environment with administrative responsibilities. Requires initiative, accuracy and the ability to maintain confidential information, records and/or files and work independently. Excellent written and verbal communication skills required. Work Environment Normal amount of sitting or standing, average mobility to move around an office environment, able to conduct normal amount of work at a computer, may require travel on an occasional basis. Must have a valid driver’s license. Ability to lift 20lbs on occasional basis. Additional Information Position is a Full Time, Contract with the possibility of a direct position
