Operations Administrator: Hospitality WRF (AD.08.4) University of the Witwatersrand - Johannesburg, Gauteng Purpose : To assist the Operations Manager by taking delegated responsibility for the operational and contractual requirements of, and relationship between the University and its service providers, in various areas, so as to ensure that service delivery within the University serves the Academic, Support Staff and student institutional plans in implementing the Universitys strategic goals. Minimizing the risk to the University by actively creating an awareness of health and safety and all other applicable legislation, and the application and compliance of such in all areas of responsibility. Support, facilitate, implement and build acceptance and commitment to change with regards to new innovations and initiatives and service delivery under the supervision of the Operations Manager. Actively participate and contribute to team processes in sharing knowledge and information that will promote harmony and contribute to collective efforts in meeting the department and University strategic goals. Apply technical and practical knowledge as well as recognizing trends, in theory and in practice, to achieve the supply of up-to-date resources and excellent service delivery . Brief Description Key responsibilities include the following : · To take authorized responsibility in order to initiate and manage change processes in the various areas of responsibility in order to support changes in line with departmental and institutional objectives. · Ongoing analysis and benchmarking of industry related costings, comparability in related markets, presentation, marketing, etc. in order to recommend and implement processes that will promote service delivery. · Actively participate and contribute to team processes in sharing knowledge and information that will promote harmony and contribute to collective efforts in meeting the department and University strategic goals. · To align all service providers and retail operators to the health and safety requirements by actively creating an awareness of health and safety and all other applicable legislation, and the application and compliance of such in all areas of responsibility. · Establish effective communication channels in collaboration with internal and external clientele and external service providers and so as to develop cooperation and teamwork and to ensure efficient and effective teamwork. · Establish effective communication channels to effective housekeeping teamwork in terms of day to day operations and forward group planning, conferencing clientele, etc. to ensure efficient service delivery. · Responsible for the identification and development of positive working relationships with internal and external customers built on trust, ethical conduct, quality and integrity. · Actively participate and take responsibility for the implementation and monitoring of the departmental communication strategy, goals and objectives. · Responsible for the coordination, facilitation and formal recording of meetings between the University and service providers. · Actively participate in collaboration with the tender committee in terms of the tender processes relevant to this portfolio. · Accountable for the monitoring and adherence by service providers and retail operators to the terms and conditions and the service level agreements (SLAs) of the various contracts. · Report and document and escalate any variations on adherence to terms and conditions and SLAs of the various contracts. · Contribute to the formulating and review of policies, procedures, guidelines and service level agreements and implementation and monitoring of such to ensure the adherence to, and high service delivery and compliance pertaining to all portfolios, as well as interdepartmentally. · Responsible for assembling, documentation maintaining of statistical data, market research and benchmarking of the various areas of responsibility and the dissemination of such. · Actively participate in terms of drafting, implementing and monitoring of budgets within the various areas of responsibility. · Identify and adapt to changing operational situations in order to remain within budget. · Give input and recommend on the utilization of resources available in the best possible manner including the cost effective procurement of related services. · Monitoring, controlling and supervising all aspects of daily reservations, financial recording and housekeeping systems to ensure continuance, and effective workflow. Requirements: · Grade 12 with relevant experience in the hospitality industry · 3 years in a hospitality environment. · Proven administrative ability in the areas of participating in the implementation of the strategic planning and organisational development. · Financial and accounting experience with experience of budget processes. · Knowledge of tender processes and contract implementation and management in a hospitality and service delivery environment. · Self-driven and ability to work independently and within a team. · Ability to participate in the development, monitoring and management of information systems, policies and procedures. · Ability to communicate effectively in person, in writing and over the telephone with individuals and within a wide variety of organisations and clients. · Open and receptive to changes and ability to shift priorities, incorporate new ideas in order to achieve a goal. · Ability to lead and to contribute to the team with effective organisational skills. · Understanding of diversity, best practice and legislative requirements in relation to service delivery within the hospitality environment. · High level of computer literacy including Microsoft Office and excel. · The incumbent will be required to work flexible hours as determined by management and operational requirements. · The incumbent must have own transport and be prepared to reside on the premises on a permanent basis. The premises is based in Mpumalanga.
