Recruitment Assistant POSITION SUMMARY The Recruitment Assistant is responsible for providing back-up to the Credentialing Specialist and processing fingerprints for new hires and transfers to OCFS,OMH and OPWDD. The Recruitment Assistant facilitates the new hire and employee transfer process that includes, but is not limited to fingerprinting, credentialing and HRIS data entry. The Recruitment Assistant provides customer service to our internal and external customers and participates in Agency activities and ensures compliance with internal and external regulations and operating standards. ESSENTIAL DUTIES AND RESPONSIBILITIES: Activities include but are not limited to the following: • Provides assistance and back-up to the Credentialing Specialist • Processes all fingerprints for new hires and employee transfers, including entering information into database • Communicates fingerprint clearance to supervisors and Employee Relations Manager if fingerprints are not cleared • Processes fingerprint documentation on terminated employees and maintains fingerprint files in a secure area • Prepares fingerprint documentation for audit by government agencies • Facilitate and coordinate the entire new hire and employee transfer process including, but not limited to credentialing of applications/resume, performing appropriate background/reference verifications and other pre-post offer requirements • Perform data entry tasks, but not limited to new hire data entry • Obtain and report on weekly and monthly statistics regarding staffing data • Participate with internal and external job fairs • Process badges for employees • Assist with extending offers and coordinating interviews, as needed. • Provide Coverage to WEOP service desk during WEOP business hours, or as needed • Participate in professional development programs to increase knowledge in WEOP procedures. • Participates in Agency activities that may include special events, meetings, trainings and committees. • Establish a work environment that creates positive communication between supervisors and employees and assimilates new employees to the Agency’s culture, values and mission. • Ensure compliance with all pertinent government and agency regulations and operating standards EDUCATIONAL REQUIREMENTS/ QUALIFICATIONS EXPERIENCE • Minimum high school diploma; prefer AA degree in related field • Minimum 2 years experience in the Human Resources field, with at least one year of experience with credentialing documentation preferred. • Must be able to communicate effective, both orally and in writing. • Knowledge of basic computer programs (Including all Windows programs, Outlook, Adobe Acrobat) are required. HRIS systems applications preferred.• This position does not have regular and substantial unsupervised or unrestricted physical contact with individuals receiving services and is not required by law to be fingerprinted for a criminal history record check under OPWDD (Office for People with Developmental Disabilities) or OMH (Office of Mental Health). • Ability to meet the physical requirements of the specific job. • Must have a valid New York State Driver’s License • Must possess the ability to make independent decisions when circumstances are warranted.
