Process one item at a time, starting at the top. When you are ready to process your e-mail, first select the order in which you want to process it. Use the Sort By: field at the top of your Inbox to filter your e-mail by sender, subject, date, or status. If you prefer your e-mail arranged by date order, you can use the Search Inbox to access e-mail from a particular sender or senders so that you can process their e-mail first without being distracted by other e-mail. To decrease e-mail processing and response times, some work teams agree, when generating e-mail, to flag or otherwise indicate the status/degree of urgency of each e-mail and use the voting option, which allows a quick "yes" or "no" reply. If you use Outlook, you can also enable the preview pane so that you can view your messages without having to open them. To enable the preview pane, on the View menu, click AutoPreview. Keep in mind that senders, including your boss or customers, will not know that you have taken time to read their e-mail if you preview but never open their messages. Begin by processing the first message at the top of your Inbox, and move to the second e-mail only after you have processed the first.
