VACANCIES: TEMPORARY TRANSPORT OFFICER AND TEMPORARY ADMINISTRATION OFFICER ATTORNEY GENERAL’S CHAMBERS REF NO: ATT 2/ 5 / 4 VI (67) DATE: 13th June, 2014 TO: All Permanent Secretaries All Heads of Departments The Attorney General’s Chambers is an extra Ministerial Department under the Ministry of Defense, Justice and Security. It exists to prosecute all criminal cases at the public instance; prosecute, defend or settle civil cases on behalf of Government, draft legislation; produce law reports; negotiate and draft commercial and international agreements and provide sound legal advice to Government, in a prompt, professional and responsible manner. Attorney General’s Chambers invites applications from suitably qualified citizens for the following temporary positions: VACANCY CIRCULAR No. 12 of 2014 VACANCY: Temporary Transport Officer DIVISION: Corporate Services TENABLE: Gaborone SALARY SCALE: C3/4 (P64, 632.00 – P95, 748.00 per annum) LEAVE: 25 working days per annum. BENEFITS: 25% gratuity equal to salary received during the contract. QUALIFICATION: Diploma/Degree in Transport/Fleet/Public Administration/ Accounts/Business Administration Management. A valid Driver’s license with two (2) years driving experience. EXPERIENCE: Will be an added advantage. DURATION: 12 months. MAIN PURPOSE OF THE JOB: To coordinate the transport activities of the Attorney General’s Chambers and in charge. DUTIES 1. Reviews reports from inspectors to find out whether the offence has been committed. 2. Device means and formulates procedures with a view to curbing misuse and abuse of government transport. 3. To perform inspection checks on road worthiness of vehicles and ensures that vehicles are sent for service in time. 4. Inspects vehicles for authorization of usage. 5. Inspects vehicles to ensure that cleanliness is maintained. 6. Monitors vehicle log books usage. 7. Checks on misuse of Government vehicles and submits misuse report to management. 8. Assists in investigating and preparing reports of incidents and submit recommendations to the supervisor. 9. Advises the Chief Administration Officer I (Operations) on all matters of Transport Operations. 10. Manages and monitors transport to ensure that running costs are kept minimal. 11. Allocates duties and guides Drivers. 12. Ensure adherence to safety measures. 13. Maintains service schedule for vehicles 14. Ensures compliance with policies, procedures and regulations including compliance with Supplies regulations, Transport regulations, Financial instructions, General Orders, Directives and Circulars in so far as Transport Operations Office is concerned. 15. Undertakes any other related duties as may be required to meet the exigencies of the service. VACANCY: Temporary Administration Officer (Operations) DIVISION: Corporate Services TENABLE: Gaborone SALARY SCALE: C3/4 (P64, 632.00 – P95, 748.00 per annum) LEAVE: 25 working days per annum. BENEFITS: 25% gratuity equal to salary received during the contract. QUALIFICATION: Diploma/Degree in Public Administration/Human Resources /Business Administration Management. EXPERIENCE: Will be an added advantage. DURATION: 12 months. MAIN PURPOSE OF THE JOB: To provide administrative functions for the Division in matters relating to office operations. DUTIES 1. Manages and maintains adherence to security, safety and loss control programme goals and objectives. 2. Undertakes regular inspection to ensure, that resources are optimally utilized and that the general cleanliness within and outside the building are of expected standards. 3. Ensures proper use of facilities such as machinery used for cleaning purposes, arranging regular maintenance of machinery. 4. To provide secretarial services to the local works committees. 5. Receives and reports office maintenance related faults to relevant authorities. 6. Provides information to facilitate preparation of estimates. 7. Monitors compliance to set customer service standards. 8. Monitors payment of private telephone bills. 9. Monitors implementation of cost savings measures on utilities (electricity, water etc.). 10. Assists in collection of data to facilitate drafting of project memorandum. 11. Undertakes any other related duties as may be required to meet the exigencies of the service.
