Here it is: Administrative Director and Chaplain Chaplains on the Way, Waltham MA 20 hours per week at $24,000 per year Start date mid-April, 2014 Are you that unique individual who is gifted in both ministry and administrative leadership? Then come join us as we offer a ministry of presence on the street, in soup kitchens and shelters to people experiencing homelessness and extreme poverty in Waltham, MA. Join in weekly worship and spiritual practices with our small congregation, building connection and bridges to other communities of faith. Administrative Responsibilities (6-10 hours per week) including: • Take primary responsibility for receiving and monitoring phone and e-mail communications. Respond where necessary and direct appropriate communication to executive director, volunteers, or board members. • Oversee incorporation and 501 (c)(3) requirements of the Massachusetts Department of Incorporation and the IRS. For the state file an annual report online, naming the Board members and date of our annual meeting. For the IRS file the annual 990 financial report. Keep liability insurance up to date. • Maintain, and periodically backup, online records such as QuickBooks database, financial reports, grants applications, chaplaincy correspondence, newsletters etc. In addition, organize and maintain hard copies of records as determined by the Board. • Take primary responsibility, with input from executive director, for updating COTW web page (communicating web designer) and keeping COTW updated and creative on Facebook and other forms of social media. • Pick up mail at the Waltham P.O. Box and distribute it appropriately • Coordinate distribution of board materials for monthly board meetings • Oversee Finances, including: o Act as liaison to the board regarding finances: oversee bookkeeping on QuickBooks; be the point person with our payroll service (PayChex); monitor expenditures relative to budget and share this information monthly with executive director and board treasurer; monitor donor data base and generate necessary reports. o Copy and then deposit all checks. Pass all deposit information on to our volunteer bookkeeper. Manage writing of thank you notes, delegating where appropriate to executive director and board members. o Direct the treasurer to pay all regular bills like rent and all invoices from consultants, as well as any other bills. o Participate in annual budget process with the executive director and board. • Fundraising Support, including: o Coordinate production and mailing of in-print and online communications with individual donors, church donors and potential donors. o Be board liaison for fundraising events o Share responsibility with executive director to preach and/or talk about COTW at churches and organizations. o Assist with grant writing • Other administrative tasks as assigned by the Executive Director or the Board of Directors Chaplaincy Responsibilities (10-14 hours per week) including: • Share in weekly street ministry. • Share in weekly presence at evening programs. • Share in leadership of weekly worship and monthly labyrinth walk. • Share in pastoral visits to congregants in hospitals, rehab, prison, or at home. • Work in ministry with student interns and volunteers, supervising when necessary. • If needed, cover chaplaincy while executive director is on vacation. • Attend meetings in Waltham community as agreed upon with executive director.
