BRITISH HIGH COMMISSION OFFICE NOTICE NO –07/15 PTA POSITION : CORPORATE SERVICES ASSISTANT - ESTATES SECTION : CORPORATE SERVICES PRETORIA GRADE : A2 (L) POSITION TYPE : FULL TIME/PERMANENT SALARY : R 11,441 PER MONTH Main purpose of job: The Corporate Services Team in South Africa is responsible for delivering corporate services to UK Based diplomatic staff, DFID and locally employed staff across the country. The Estates Assistant will be an integral part of the team as well as working on a regular basis with other Corporate Services Departments to deliver a pro-active, customer-focused service across South Africa. The successful candidate will have responsibility for day to day Telephony, Office administration and assisting with Estates during annual and sick leave. Roles and responsibilities / what will the jobholder be expected to achieve?: Monitoring of the Estates mailbox. Logging, planning and overseeing day to day maintenance problems, including emergencies that arise at the High Commission, Consulate or residential properties within the SA Network. Occasional travel within South Africa will be required. Booking and liaising with contractors and occupants over all works and following up with occupants to ensure works have been completed to a satisfactory manner Maintaining a supplier data base, ensuring value for money at all times. And liaison with the Procurement Hub on supplier optimisation. Capturing of property information, updates and maintenance requests on the Pyramid data base On-line Oracle based Prism requisitioner and receiver for goods and services Preparation of new properties and co-ordination of works related to existing properties for new arrivals in accordance with FCO Guidance New arrival march in’s and leaving officer march out’s to be co-ordinated Assisting with minor purchases and ensuring procurement and financial guidelines are closely followed Monitoring City of Tshwane/Cape Town and Johannesburg bills and consumption on monthly basis ensuring that bills have been received for all residential and non-residential properties and passed to Accounts for payment processing and if not received to follow up with the relevant councils Prepaid Electricity meters to be administered and instructions on purchasing to be sent to Accounts as and when required Some deputising for the Estates Manager whilst on leave (although this will be a shared responsibility) Working closely with the Procurement Officer with regards to Inventories and removal of stock from the stores as well as updating of inventories Performing ad hoc duties as instructed by the Estates Manager or Corporate Services Director General administrative tasks, including, filing and record keeping on excel Key competences required for the job: Delivering a Quality Service Delivering Value for Money Delivering at Pace Achieving Commercial Outcomes Language requirements: Language: English Level of language required: Good command both written and spoken Other skills / experience / qualifications: Essential on arrival: Valid/clean drivers licence, IT Skills Desirable: previous experience in a Facilities Management environment or Estates related experience Learning and development opportunities (and any specific training courses to be completed): Pyramid Prism (Purchase to Pay) Diversity/Equal opportunities The British High Commission Pretoria is an equal opportunities employer, dedicated to inclusivity, a diverse workforce and valuing difference.
