Brothers....I am posting here the minutes of the first meeting of the new sets of Board of Directors of St. Joseph Seminary Alumni Association, Inc., or JOSEPHITES, Inc.. MINUTES OF THE FIRST REGULAR MEETING OF THE BOARD OF DIRECTORS OF THE JOSEPHITES, INC., ALUMNI ASSOCIATION The first regular meeting of the newly elected Board of Directos of Saint Joseph Seminary Alumni Association (Josephites, Inc., for brevity) was held last January 11, 2014, at the TV room of the seminary located at the third floor. Honorable Judge Corpus Alzate, the newly-elected President of the Alumni Association, called the meeting to order at exactly 10:57 AM and started transacting business. A quorum was established, after which he requested Fr. Carmelo Gonzales, Rector of the Seminary and Ex-officio Member of the Board, to lead everybody in prayer. The honorable Alumni President thanked the members of the clergy in attendance, as well as other members of the Board who came. Judge Alzate acknowledged the vital role of the clergy, especially because of their wise counsel and prayerful guidance. Prior to other matters awaiting discussion in the meeting the President found it wise to first organize the working/standing committees of the Association. Hence, Judge Alzate prioritized the constitution of the Membership Committee. The following were chosen by the Board to lead the said committee, to wit: 1.Attorney and SP member Byrone Alzate – Chair 2.Fr. Jeffrey Bueno - Member 3.Fr. David Mark Taverner - Member 4.Blas Pagtailan - Member 5.John Pilarta - Member In the mind of the President, which he shared to the body, there is an extreme need now for the widest possible means of reaching to all alumni of Saint Joseph Seminary for the best interests of the association. The members of the board concurred. Hence, Atty. Rogelio Peig suggested that minor seminarians, during their vacations, will help find SJS alumni by asking people their whereabouts before a letter will be sent to them. Fr. Gonzales said that what is needed now is a vigorous follow-up because they have already done what was earlier suggested some years back. On that note, Judge Alzate suggested the designation of a coordinator from each batch. Fr. Melo again told the Board that this was already done previously. He said there is a need to strengthen this aspect, identify anew those designated coordinators and encourage them to work. The Project Development Committee was tasked to reach out to these coordinators. On the issue of reaching out to alumni and designating coordinators Judge Alzate pointed out that the Board needs to let all alumni and the coordinator from each batch feel they are important to and needed by the association. A necessary factor, he said, is for the members of the Clergy to motivate each alumnus. He said that if a priest speaks, this spells a difference. He also suggested that the association will enhance the use of the internet for a wider dissemination of the associations activities and also to reach out to alumni. Fr. Gonzales and Atty. Peig said they will find a way to restore or re-activate an earlier web page, or buy another domain exclusive for the association. On membership fees, the President inquired if there is any vehicle, like a bank account of the association, where members could deposit their annual membership dues. Atty, Peig mentioned the associations account at BDO. Fr. Ruben Valdez proposed that the association, through the seminary, will incorporate in the graduation fee the mandated membership dues of incoming alumni-graduates of SJS. Judge Alzate asked Fr. Gonzales to consult and get the consent of the seminarys Parents-Teachers-Formators Relations (PTFR for brevity) regarding the incorporation of membership dues in the graduation fee. For his part, the President said he will also ask the Department of Education as regards the matter. Meanwhile, the Secretary was tasked to get forms from BDO for the changing of bank signatories, in the wake of the new set of officers. It was decided that the President and the treasurer will be the signatories. Two other standing Committees, namely: Finance Committee and Project Development Committee, were subsequently constituted. The Board appointed the Chairmen and members of these committees, to wit: FINANCE COMMITTEE: 1.Fr. Allan Flores - Chair 2.Mr. Pepito Pacapac - Member 3.Provincial Prosecutor Nestor S. Tolentino - Member PROJECT DEVELOPMENT COMMITTEE: 1.Atty. Rogelio Peig - Chair 2.Atty. Conde Claro “Bong” Venus - Member 3.Mr. Rodel Bolante - Member 4.Engr. Roland Leones - Member 5.Mr. Cris Albolote - Member The position of an Executive Director of the association, as contained in the By-laws, was determined and decided by the President as not an immediate need yet. As for the Scholarship Committee, the President proposed that fifty pesos (Php 50.00) from the two hundred peso-annual membership dues of each alumnus be given to the scholarship fund of the association. Atty. Peig also suggested that the scholarship fund be sourced, from donations, citing the associations By-laws. Meanwhile, Judge Alzate informed the Board that the Council of Elders of the association will be composed of past presidents of the association, Very Rev. Nilo Peig and the Bishop of the Diocese. The members agreed. With regard to projects of the association, the prospect of a raffle draw, having a car as the major prize, was recommended. The President was amenable to the idea. It was discussed and agreed upon that members of the Board will seek the generous assistance of Alumnus Lucas Bersamin, Associate Justice of the Supreme Court of the Philippines. As for this years homecoming, Atty. Peig offered the idea that the association will start adopting a new scheme as regards the sponsoring batches. These (sponsoring batches) should come from Jubilarians. They will not only sponsor the homecoming but they will be treated as honorees, too. As follows is the pattern the association shall adopt annually with regard to sponsor batches, to wit: 10 years 15 years 25 years 35 years 50 years Based on the pattern abovementioned, the sponsors for this years homecoming will be batches 1964, 1979, 1989, 1999, and 2004. This pattern was adopted in principle by the members of the Board. Fr. Valdez henceforth suggested that the Project Development Committee members will start contacting these batches. A gathering, sort of a get-together of all alumni, was proposed. The President and all members of the board agreed. It was decided then that the said gathering will be held at Saint Joseph Seminary after lunch of this years Holy Saturday. Lastly, the next meeting of the BOD was set on March 19, 2014, on the occasion of the Feast of Saint Joseph, patron of the seminary. The meeting shall start at 10:00 AM.
