As such, this person reports to the Administrative Assistant of the Counseling Center. The major duties and responsibilities include: Greeting and receiving clients and determining when to initiate a crisis response. Handling telephone contacts. Handling telephone contacts including initial response to emergency calls. Handling confidential material. Maintaining the security of client records and information (both electronic and hard copies). Coordinating the maintenance of counselor/client schedules. Providing information about the University, Counseling Center, and Student Affairs to the public. Screening incoming and outgoing mail. Assisting supervisor in the application and communication of policies. Prepare and disseminate staff meeting minutes. Prepare Purchase Orders and keep Request for Payment numbers for Image Now. Administer purchasing card records and assist with maintenance of funds. Schedule testers; collect testing fees, and write receipts; make deposits; backup Test Coordinator as needed daily and in Testing Coordinators absence. Maintain security of client information systems. Compose letters and general Counseling Center correspondence. Required Qualifications: High school diploma or GED Three years progressive and successful experience in a fast-paced, high-energy customer service office setting demonstrating professionalism, organization/team building, and exceptional interpersonal skills Able to communicate in written and oral form Knowledge of email and internet applications Able to maintain confidentiality Flexibility to assist Testing Coordinator as needed Subject to Criminal History Background Check Preferred Qualifications: Previous experience working with PeopleSoft Supervising experience Proficiency with Excel, Power Point, and Word software systems and computer network systems Experience working with diverse populations Computerized records management Knowledge of University policies and procedures
