VERNON TOWNSHIP HIGH SCHOOL Attendance Office Clerk Vacancy Notice Job Title: Clerk Position Type: Permanent Full-Time Department: Attendance Office Reports to: Mr. Rowdy Fatheree, Assistant Principal 618-246-5833 [email protected] Supervision Exercised: None Employment Terms: 10.5 Hours of Work: 8:00 a.m. to 4:00 p.m., Monday through Friday Summary This position involves a variety of routine and clerical work in the Attendance Office. This position requires confidentiality. Terms of Employment: Salary As per schedule established by the Board of Education Key skills: •operate PC using Microsoft Office Suite •ability and desire to learn new technologies and software and apply them to daily job functions •adjust to changes in workload and work under time constraints •excellent telephone and verbal skills •operate multi-line telephone system •ability to communicate orally and in written form •read and interpret procedure manuals Education and/or Experience Computer experience, including all aspects performing Microsoft Word and Excel functions and operations, or an acceptable equivalent combination of education and experience. Language Skills Ability to write routine correspondence. Ability to speak effectively. Mathematical Skills Ability to calculate figures and amounts. Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several variables in standardized situations. Knowledge, Skills, and Abilities Required to Perform Job Functions •Requires regular attendance. •Ability to communicate effectively with peers, supervisor, and members of the public. •Proficient in analytical skills and ability to compile data. •Ability to balance varied tasks and projects and quickly shift focus amongst various systems and applications. •Demonstrate knowledge of data. •Ability to create and disseminate data and information. •Ability to operate all office equipment. •Ability to speedily and accurately input computer information from source documents into database via keyboard. •Check and verify computer output for accuracy and completeness. •Interpret source documents and extract required information for entry into computer. •Work independently and prioritize assignments to meet deadlines. •Handle several work assignments with competing deadlines. •Maintain confidential information. •Work cooperatively and effectively with those contacted during the course of work. •Establish and maintain effective and positive working relationships with co-workers and the public. •Make decisions and exercise sound judgment regarding information being entered, deleted, or coded in the database. Primary Duties and Responsibilities The following duties are customary for this position. These are not to be construed as exclusive or all-inclusive; other duties may be required and assigned. •Assisting the general public in matters relating to the Attendance Office. •Performs office responsibilities such as answering telephone, taking messages, answering the general publics questions, word processing, and document filing. •Receives, stamps, and distributes incoming mail; processes outgoing mail. •Responsible for retrieving mail and any necessary information on a daily basis. Necessary Knowledge, Skills, and Abilities •Must have knowledge of business office procedures and practices, office etiquette, English language, and mathematics. •Must have the skill and ability to do accurate record keeping and to use a variety of office machines including computers, copy machine, fax, two-way radio, calculators, postage or mail machine, and other common office equipment. •Must have knowledge, skill, and ability to detect and correct English language and data errors. •Must be able to politely, skillfully, and tactfully answer questions from the general public. •Must have the knowledge, skill and ability to operate a personal computer including various software programs such as Excel, Word, etc. •Must have the knowledge, skill, and ability to perform the primary duties of the position in a timely and proficient manner. •Must be poised, honest, reliable, trustworthy, and self-reliant with acceptable office etiquette practices.
