The position of the Operations Representative supports Customer and Carrier Representatives in scheduling, tracking, dispatching, and locating carriers for transport of freight. Operations Representatives will develop an ability to anticipate transportation related problems, communicate those issues to the Customer and Carrier Sales Departments, and facilitate a resolution. In addition to general office coordination, this visible position provides timely, accurate and courteous service to the customers and vendors of our company. Task & Duties Dispatching: Provide drivers/draymen with directions to shippers and consignees. Provide accurate and detailed shipment information. Update the Transportation Management System (TMS) as needed. Tracking: Provide Customer Service Representatives with detailed, accurate, and specific information pertaining to each load. Update the Transportation Management System (TMS) as needed. Scheduling: Provide customers with detailed and accurate information in regards to warehouse schedules and requirements. Schedule warehouse appointments, and notice calls, according to shipping/receiving hours. Load Management: Obtain current shipment status and accurately monitor the progression of the shipment. Shipment Entry: Receive accurate, detailed and specific information from the customer pertaining to each tendered shipment and enter into Transportation Management System (TMS). Locating Carriers: Utilizing the tools and database provided by company, contact potential carriers for hire. Post shipments and call on carrier postings on various load posting services. General Office Coordination: Answer phones, file, ensure customer files are current, data entry, and obtain proof of delivery. Skills Organizational: Implementing methods of prioritizing and reprioritizing daily responsibilities in order to increase productivity, efficiency, and allow for effective time management. Influencing: Persuading others to think or act in a particular manner. Networking: Developing rapport quickly with others in order to create essential business relationships. Multi-tasking: Handling more than one task at a time while remaining thorough and effectively completing them in a timely manner. Proactive: Working in a quick and assertive manner throughout all tasks daily. Decision Making: Considering costs and benefits of actions in order to fit client needs most effectively. Required Qualifications • Fluent in the English Language • High School Diploma or equivalent required. Desired Qualifications * Bachelor’s Degree * Previous experience in the transportation industry * Proficient in a second language.
