Recruitment Consultant at Divine Connections Recruitment Services Dear Colleague OUR CLIENT, AN ENGINEERING CONSULTING FIRM IS SEEKING TO RECRUIT THE FOLLOWING POSITION: Job Tile: Administrative Assistant Reports: Management Salary - K12,000 gross Overall Job Purpose To coordinate and manage, the day to administration functions of the Organization, ensuring efficient operation of the Organization and maintain communication between the Secretariat and the management. Proposed Key responsibilities and duties: General Administration: Ensure that the office and office walls are neat, repaired and maintained in a tenantable condition. Coordinate the maintenance of office equipment and furniture and ensure they are kept in a serviceable condition. Attending to all calls, visitors and e-mails. Documentation/Record Keeping: Ensure that Organization’s electronic and hard copies of Organization’s records and other correspondence are properly filed and retrieved. Assist management in maintaining a record of proceedings of all Organization’s meetings and resolutions and maintain a dairy of all events and meetings. Financial Administration: Prepare and process payment vouchers, invoices, purchase requisitions and other financial documents for approval. Collection, receiving, receipting and banking of monies for the Organization’s. Preparation and processing of statutory payments and remittances to ZRA, NAPSA, Registrar of Societies etc. Communication/Liaison: Maintain liaison between the Organization and affiliates such as EIZ, NCC, ZIA, SIZ etc through verbal communication and answering queries. Ensure that the Organization’s website is updated at all times. Act as representative for Organization at Global and Continental forums. Event management: Coordinating short course trainings for management on a Global and Continental level in line with the prevailing engineering requirements. Prepare itinerary for the Organization and make travel arrangements for transport and accommodation during meetings. Organize monthly, quarterly and Annual or committee meetings, training etc as directed and ensure that venues and other logistics are secured Other Duties: Undertake any other duties that may be assigned to him/her by management Qualifications and Experience The candidates shall be in possession of the following: Degree or Diploma in Business Administration or equivalent from a recognized University Minimum 3 years of experience in a similar position Proficient with Microsoft Office and Outlook Desired Attributes Excellent written and spoken communications skills; Flexible and adaptable to challenging work situations; Able to self-manage, work under pressure and meet deadlines; Strong interpersonal skills and team building skills Able to plan and deliver results Networking skills Time keeping Interested candidates must send their CVs yvonne@divineconnectionsrecruitment admin@divineconnectionsrecruitment not later than 11th April 2014 indicating your salary expectations.
