SECURITY GUIDELINES PURPOSE: The main purpose to issue this guideline is to safeguard the company property and restrict unauthorized entry inside the office premises. SCOPE: This guideline applies to all employees of PTCL Vendors, Employees of Third Parties affiliated with PTCL, Consultants, Contractors and their employees accessing the resources of PTCL. Resources include any type of resources that belongs to PTCL or available in PTCL premises or networks. All locations of PTCL are covered by these guidelines. PROCEDURE: 1. Guidelines For Employees. Following is to be ensured by Manager Security through available security staff:- a. It is mandatory for all the employees to possess and display their Identity card at all times when they are in office premises. b. All employees shall display their card on their person, preferably by wearing it around the neck or clipped on to their shirt pocket. c. Card shall be displayed in a manner that it is easily visible to security / authorized personnel at the time of entry. d. Security personnel may not allow entry to the office if the employee doesn’t possess the Identity card. 2. Guidelines For Visitors. No visitor will be allowed without advance E-mail about his / her particulars / details from the visitee / concerned office to the Main Reception while keeping Manager Security Headquarters PTCL in the loop. a. All the employees are requested to meet / attend their respective Vendor / Supplier visitors in the Reception area / meeting rooms. Their entry in the office premises is restricted. b. Visitors will not be allowed to go to any Department other than the permitted one. The visitee will be held responsible in case his / her visitor is found ambling in other offices. c. As and when the Visitor/ Guest / Supplier/Vendor arrive, intimation will be given by the Reception Desk on phone / intercom to the concerned employee, it shall be the responsibility of the employee to come and attend the Guest/Visitor in the Reception area. Any employee who intends to take the Visitor inside the office after making entry in the Visitor’s register shall escort the Visitor inside the office. It shall be the responsibility of the concerned visitee to escort the visitor back to the reception as soon as meeting is over. d. The Reception Desk shall issue to every Visitor already provided separate card for visitors. e. The Visitor has to wear this Card on his / her person at all times when he/she is in office and has to return the card while leaving the office premises. It shall be the responsibility of the security staff / visitee to ensure that the Visitor wears the same throughout his / her stay inside the premises. f. The Reception Desk shall ensure that all Visitors write the required details in the Visitor’s Register and mention their in / out timings. g. It shall be the responsibility of the concerned to escort the visitor back to the reception. 3. Guidelines of Gate Pass. Following is to be ensured by Manager Security :- a. All items which are moving out of the premises for any reason need to have a proper gate pass. b. Security is been instructed not to allow anything to go out unless supported by gate pass duly signed by authorized persons. c. This is applicable to all the employees of PTCL /Contract staff. 4. Guidelines for Inward Material a. All the material/ assets coming in office premises will have to be entered in the “Material Inward Register”. This is applicable for all the purchases including IT. b. All Inward material Invoices will be stamped by the Security Manager befire allowing entry. c. Material which is personal in nature and likely to be taken back needs to be entered in the register call “Personal Inward Register”. Security Manager will have to validate this on exit and counter sign the same. d. In case any employee who doesn’t enter personal material /item and found carrying such material while leaving office, the material will not be allowed to be taken out without the gate pass duly authorised by his / her Immediate Supervisor. e. In case of Contractor / Vendor getting their tool equipment / laptop or sample inside the premises, they should register the same in the inward register before entering office premises and on return should counter sign the same. f. All the Gate Passes will be signed by concerned Senior Manager and approved by Manager Security. 5. Guidelines for Vehicle Search. a. All vehicles entering PTCL premises will be subjected to strict search at the gate. b. The interior of the car and then the exterior to be thoroughly searched, including underneath the car. Flashlight to be used for searching underneath the car and /or inside the car if it is dark outside. c. Use of mirror if necessary will be ensured in order to reflect objects in or on the car that may be unclear. When inspecting the car, make sure to look for any type of hidden compartment built into the vehicle as well as parts, such as doors, that are heavier than they ought to be. “It is highly desired that above guidelines shall be implemented in true letter and spirit since security cannot be compromised at the cost of convenience.”
