This position plays a major role in the output of the organization by Crating, completing and auditing various administrative functions. Business Contributions: The output generated by the sales administrator is proficient administrative and clerical support to the Oasis sales office through the direction of the Senior Business Development Manager/RVP. Three major business contributions of the Sales Administrator to Oasis Outsourcing are: Administrative Support Clerical Support Client Satisfaction Essential Functions: (Percentage of time spent on each task in parentheses) Administrative Support (40%) Weekly Reports Weekly internal pipeline reports Weekly Executive Stage I and II Reports Create/Distribute weekly meeting agendas SBDM expense reports Maintain Senior Business Development Manager Calendar Schedule travel Senior Business Development Manager Sales Logix Duplicate Client Checking Edit Opportunities for accurate pipeline Assist with creating accounts Reconcile SLX accounts based on weekly Implementation Report Senior Business Development Manager Support Lead generation/tracking Audit/Input proposal requests Written correspondence Cost sheet preparation Census preparation Compile generic proposal binders, benefit kits and orientation packets Log/Audit/Overnight Closing Documents Clerical Support (30%) Reception Duties Answer telephone in a professional manner Greet office visitors in a professional manner Copy and file, Mail Tasks/ Retrieve/Distribute/Ship, General office tasks HR Services/Field Implementation Support (30%) Prepare and organize client binders and folders Prepare and pre-populate/code new client applications and benefit enrollment forms Assist as needed with Davidson reports Assist with new client reports Interfaces and Interactions: Internal: Majority of interactions will be with the District Managers/SBDM/RVPs and PECs. However, the Sales Administrator will interact with all Oasis departments. External: Clients Vendors Position also assists as Oasis ‘Company Ambassador’ and is able to interpret information from both current and prospective clients and communicate Oasis story to them. Attends business functions as community events, Chamber of Commerce functions, grand openings-businesses, trade shows, sales presentations etc. to support the Sales Department in general. Performance Standards: The Sales Administrator’s II performance is evaluated by: Proficiency in completing tasks for the District Manager/Senior Business Development Manager/Regional Vice President Proficiency in completing tasks for the PECs as directed by the District Manager/SBDM/RVP. Job Specification Knowledge, Skills, and Experience The Sales Administrator II is a position requiring proficiency in administrative functions and excellent communication skills. Must have the ability to complete multiple tasks within a designated timeframe Proficiency in Microsoft Office with an emphasis in Excel is required. This individual should be comfortable in a faced paced, high pressure environment that requires flexibility.
