Snow Day Camp For Tomorrow & Wednesday - Pre-Registration Dear Parents: Don?t miss another day of work due to snow! With the likelihood of inclement weather tomorrow, we are pre-registering for the Snow Day Camp at Douglass Community Center for Tuesday and Wednesday. If LCPS is closed, camp will be held from 7:30 a.m. to 6:00 p.m. Camp is open to children in grades 1 through 5. Cost is $33. Children will have use of our full sized gymnasium, our video gaming camp consoles, art and craft supplies, as well as a variety of other fun activities. A pizza lunch will be provided. Supervision will be provided by our experienced and well trained staff. All they need to bring is a few snacks and a drink. PRE-REGISTRATION IS REQUIRED either on WebTrac or by phone by 10:00 p.m. tonight. Space is limited. No payment is required for the pre-registration. Payment will be required at time of drop-off in the morning. In the event that schools are canceled in advance, the pre-registration will be changed to add fees that are paid at the time of registration. WebTrac can be accessed at lououn.gov/webtrac. The activity number is 204222-03 for Tuesday and 204222-05 for Wednesday. There is a list of frequently asked questions at the bottom of this email. Please read through these FAQ?s, as there is a lot of important information within. Finally, please be aware that we follow the Loudoun County GOVERNMENT closings. In the event of severe weather that closes the government, Snow Day Camp follows that closing schedule. A: Camp will be held at the Douglass Community Center in Leesburg at 405 East Market St. Q: When will I know if Snow Day Camp will be held? A: Snow day camp will follow the Loudoun County Public Schools cancellation announcement. *#* If the Loudoun County GOVERNMENT itself closes, then Snow Day Camp will not be held. *#* Q: What does my child need to bring? A: Campers should bring a snack and a drink. Pizza lunch will be provided. If you choose to send personal electronics or other valuables, staff cannot be responsible for these items. Only send items that your child will be responsible for. Q: What is the cost? A: The cost for the day is $33. Q: How do I register? A: You can pre-register online at loudoun.gov/webtrac. If you do not have a WebTrac account, we can pre-register you by phone at 703-771-5913. Pre-registration is required in advance. Use the activity numbers provided in the email. Q: Do I have to pay to pre-register? A: No, you do not have to pay to pre-register unless LCPS has already made the decision to cancel schools. In the event that schools are canceled the day before, the activity number advertised may have fees added. The pre-registration without payment is only done so that we know how many children to expect. If you are pre-registered and decide that you will not be using that space, PLEASE email [email protected] and let us know that you will not be using that space. This will allow us to open the space up to somebody that may really need the space. Please send this email even if it is the middle of the night, as capacity is monitored overnight. Q: Are walk-ins permitted? A: Walk-ins are only permitted if there is space after all pre-registered campers are accommodated. Q: My child has allergies or medication, what do I need to do? A: Please let staff know in the morning when you drop-off and allow a few extra minutes to complete paperwork. Q: What paperwork is required? A: We require a one page permission slip with emergency contact information. This form can be completed and printed at va-loudouncounty.civicplus/DocumentCenter/View/96755. We will need a form for each day you come to Snow Day Camp, so you may wish to print several copies of your completed form. Please fill out this form in advance of arriving at the camp. This will speed your process during payment and drop-off. Q: Where do we drop-off? A: Please come into the office upon arrival. Once all paperwork is checked and payment is made, you will go into the gym and sign your child in. The office is located on the right (west) side of the building. There is a courtyard with a blue awning that says ?Office?. If parking on that side if full, you can enter from the other side of the building where the outside soda machines are or you can park behind the gym and come up the sidewalk from the back. Q: What activities will my child do while at camp? A: In the morning until about 9:00 a.m., campers will be in the gymnasium for free play. Once the majority of the children have arrived, we will break into smaller groups of approximately 14 children. The groups will rotate through various stations such as gym free play, gym organized games, board games, arts & crafts, video games, etc. Towards the end of the day closer to pick-up time, we will be back in a single room.
