THE BOYS’ BRIGADE OF ZAMBIA AFFECK MWINUKA BATTALION BUSOKOLOLO CONGREGATION 16TH LUSAKA COMPANY MINUTES FOR THE ANNUAL GENERAL MEETING WHICH WAS HELD ON THE 17TH NOVERMBER, 2013. DEVOTION/OPENING PRAYER The meeting was called to order at exactly 15:05hrs and the prayer was given by the Youth Treasurer. ROLL CALL AND APOLOGIES The roll call went round the meeting and apologies were given from the following people: Humphrey Kapotesha Lt Modrick Mofya Lt – He went to the consistory meeting. George Simpungwe – He was nursing a child who was sick at home. Chongo – He went for the funeral Teacher Ruth Nkweto Phiri Teacher Easther Mulenga Teacher Charles Musonda Teacher Racheal Bwalya Lunda APPOINTMENT OF MEETING OFFICIALS The meeting time keeper was Victor Matafwali Staff Sergeant and Robbi Tiki was chosen to be the scruitineer. READING, ADOPTION AND CORRECTION OF PREVIOUS MINUTES The previous minutes were read by the secretary and later adopted with corrections. MATTERS ARISING One member of the house wanted clarification as to why some executive committee members were acting. In response the chairperson said that it was because the elected ones left office because they were serving in the higher offices, so as per constitution, the captain chose the current ones for acting. One member of the house wanted to know how far the Boys’ Brigade is fairing after the division of the Chilangwa Preaching Point and if the visitation was conducted. In response, the chairperson said all was very fine and the visitation was conducted, further, clarity was given as for now the supervision lies at battalion. One member of the house wanted to know how the response was towards the revision of the band hiring form. In response the chairperson said the band hiring form has categories of prices towards different groups. He also further stated that the response was good as people were obliging accordingly. A member of the house wanted to know about the local proposed journey whether it was successful. The chairperson said that they went back to the house and reported. Another member of the house wanted to know whether the brass band went to play at the wedding ceremony of officer Modrick Mofya Lt. in response, the chairperson did not go to play because the transport was not provided as per requirement. NEW BUSINESS PRESENTATION OF REPORTS EXECUTIVE REPORT The report was read by the company secretary. Comments One member wanted to know why one column in the diagram on discipline was showing nil but one boy was awarded as the most discipline at the battalion display. In response, the chairperson noted that and explained that the report referred discipline to as members who were under pastoral cases. One member wanted to know as to why in the diagram on membership status of officers was showing the total of 43 and not 44. In response, the chairperson said due to the obituary, we had to subtract the one from the total number of officers. A member of the house wanted to know as to why the Euphonium was not showing on the damaged tools. In response, the chairperson said that the instrument was in good state as it was playing. Another member wanted to know why the symbols where not showing in the report. In response, it was observed that it was a typing error, the correction was noted. One member wanted to know why the company managed to send only three (3) boys to the sergeants’ courses. The chairperson responded that they were the only ones who registered for the sergeants’ course. The report was then moved. FINANCIAL REPORT The report was read by the company treasurer below is the summary. Total ReceiptsK 18, 904.05 Total PaymentsK 18, 801.25 Cash at handK102.25 Comments INCOME A member of the house wanted to know how many CDs where produced. In response, the chairperson said that 40 CDs were produced and each was going at K 20 which raised K 230.00 due to poor response. Another member of the house wanted to know the methodology and ideology to undertake in order to advertise the brass band. In response the chairperson said by the use of flyers, equipping the band with more instruments and playing good music which will be appreciated by the public. EXPENDITUTRE A member wanted to know why communication/transport was too high. In response the chairperson said due to the communication towards the boy we had at the U.T.H and follow up to our intended invitation of the enrollment guest of honor. A member wanted to know why miscellaneous was too high than the youth contribution. In response, the chairperson said due to the agencies of activities in materials. A member wanted to know why the two months between 25th November to 27th January were not showing in the report. In response, the chairperson said the reprint for the two months was reported in the company meeting. In addition a member moved on and said that the AGM is higher than the company meeting. In response the chairperson said they circulated the reprints to the Boys’ Brigade and the AGM members were unaware. The financial report was full of unresolved issues. Therefore, the chairperson ruled by revoking a reject the report due to the commencement of the report from 1st January, - 31st January, 2013 and not 31st November, 2012. However, it was agreed that the correct financial report be given soon. As you will see on the copy attached. ACTION PLAN EVALUATION One member of the house thanked the executive for the wonderful work they did and urged the members to give support to the company so that they work next year. LEADERSHIP REVIEW(The following points were raised and presented to the executive) The executive and the committees were released. One member of the house appealed to the Youth office to take the serious issues raised against the Executive. One member said that the issues posted on the social network (Face book) should be good and Christ building. The house wanted to know how the NCOs patron was elected. In response the chair advised that NCSs patron was just an appointment by the captain. One member of the house said that the Band officer-in-charge is selective to some Junior Section who should be allowed to play or learn. He also allows Junior Sections to rehearse when they are not allowed. This was noted and clarified that the band is for all company. Some officers use threats to some issues which require attention, too much segregation among officers and boys towards certain activities. The noted with sadness and promised to look into it. The Executive has totally failed to follow the AIM of the Movement. Abuse of authority to some members of the executive. Lack of emphasis on communication from the executive. The chair noted and promised to look into it. The Chairperson encouraged the house to be attending the Y.C.F as it is in line with Boys’ Brigade. BAND MAINTAINACE The company secretary announced to the house the Acting Officer-in-Charge Band Section as Peter Zimba W/O. The following measures were agreed to always be taken: Once in a week practice. (unless otherwise) Band officer-in-charge to strictly inspect the instruments before and after the band rehearsals. All the events to be sanctioned by the captain. Once in a month the band section to meet to clean, maintain, repair the instruments and update stock. Any person having the company property to submit it to the company so that it is kept at church. ANNOUNCEMENTS Enrollment dates will be communicated to the house later. As for the payments still stand as follows: New Officers K 250.00 (Uniform Inclusive) Old OfficersK 150.00 New BoysK 65.00 Old BoysK 50.00 The captain was away due to work commitments. And the acting Captain Was announced to the house as Youngson Silavwe Lt. Boys’ Brigade week cards should be brought to the company. A.O.B A member of the house wanted to know whether the people who paid for the company local journey will be refunded. The Chairperson said that no but they will be considered in the next local trip. Another member wanted to know why other officers have poor approach towards the boys. And the chairperson said if you observe that there is an officer who has poor approach towards the boys, you should report the executive so that he/she is advised how to approach people. A member of the house encouraged the executive to be communicating through the massages. Another member appealed to the chairperson if the congregation would allow the Boys’ Brigade to have one Sunday in a year. That can be diplomatically done on an enrollment day. A member of the house suggested to the house that due to many officers at the company, the executive next year should be having one class for those who won’t be having duties. CLOSSING REMARKS The chairperson apologized to the house for late commencement of the meeting. He further thanked the house for participating as this build the movement.
