ADMIN ASSISTANT – DOCUMENT SERVICES, CORRESPONDENCE R138 170 Per Annum Cost To Company Incl Benefits Negotiable The Road Accident Fund’s mission is to provide appropriate cover to all road users within the borders of South Africa; to rehabilitate and compensate persons injured as a result of motor vehicle accidents in a timely and caring manner; and to actively promote safe use of our roads The Organization requires the services of qualified individuals within its Cape Town Office for the following position:- THIS IS AN INTERNAL AND EXTERNAL ADVERTISEMENT Job description Key Performance Areas Receive, register and stamp incoming correspondence. Prepare documents for scanning. Ensure efficient and timely delivery of mail within the RAF. Separate incoming mail from incoming faxes and sort according to destination. Ensure files, correspondence and all other documentation is filed according to established policies and procedures. Prepare outgoing mail for posting. Ensure that outgoing mail is correctly priced and franked. Record details of all registered mail and Docex Tracker mail. Declare monies received and capture in register. Prepare bulk mailing. Check addresses and ensure Docex post is sent to the Docex office, normal and registered mail to the Post Office. Ensure that mail and files are validated and prepared before scanning. Sort documents according to document class and insert separator pages between classes. Ensure that all scanned mail and files are indexed and successfully released to Share Point. Ensure that all mailroom-related equipment is serviced, and in good working condition at all times. Maintain the franking machine in terms of physical maintenance and loading money. Ensure that registered mail tracking stickers and Docex label stickers are available or ordered in time. Ensure that the copying, binding and laminating machines are well maintained and in working order. Ensure that requests for copying, binding and laminating are executed efficiently and timeously. Requirements Required Minimum Education / Experience Grade 12 Driver’s Licence 1 year in an administrative role Previous experience in a mail room / document services environment would be an advantage. Duties and Responsibilities Main Purpose of Role: To assist in providing an efficient document management service to the Cape Town region, Head Office and other RAF regions.
