FUNCTIONS/DUTIES OF THE EXECUTIVE MEMBERS ARTICLE 10: PRESIDENT The President shall: Preside over all meetings of the Executives. Represent the Choir where the Choir is required to be represented. Take custody of all document and properties of the Choir related to his office. Direct the administrative affairs of the Choir. Delegate the Vice President or any executive member whom he deems fit and where he finds it expedient, to represent the Choir at any meeting or function where the Choir is to be represented. Supervise, coordinate and take responsibility of the functioning of the Executives. Be a signatory to all cheques drawn on the account of the Choir as well as vouchers chargeable against the account. ARTICLE 11: VICE PRESIDENT The Vice President shall: Assist the President in the performance of his duties. Act in the absence of the President and when acting, be vested with all the powers of the President subject to any contrary provisions of this constitution. Act as ex-officio member of all committees of the Choir and shall coordinate the activities of such committees provided for in this constitution. Perform any such duties assigned to him by the President and/or the Executive Members. ARTICLE 12: SECRETARY He shall be the secretary to the Choir. He shall at all meetings of the Choir keep and maintain true and accurate records of proceedings. He shall be responsible for putting up all general Choir notices. Where the President and the Vice President are both unable to perform their functions, the Secretary shall perform those functions until the President or the Vice President assumes office as the case may be. He shall perform any such functions as the President and/or Executive Members may assign to him. Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 13: CHAPLAIN The Chaplain shall: Be the spiritual leader of the Choir Be responsible for the planning and organising activities such as prayers, Bible studies, and other activities pertaining to Christian spiritual growth. Lead in offering prayers to begin or end any meeting of the Choir or Executives. Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 14: DIRECTOR OF MUSIC The Director of Music shall: Have the responsibility of musically directing the choir. Have the responsibilities including, but not be limited to, song selection, the teaching of songs to the choir during Rehearsals, the finding of additional musicians, as needed, the creation of tapes, for the choir to learn the current music from, and special choir tasks. Serve as the conductor of the choir during ministrations and other performances. Delegate the Assistant Director of Music to perform duties pertaining to his office. Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 15: ASSISTANT DIRECTOR OF MUSIC The Assistant Director of Music shall: Assist the Director of Music in the performance of his duties Act in the absence of the Director of Music, and when acting, be vested with all the powers of the President subject to any contrary provisions of this constitution. Perform any such duties assigned to him by the Director of Music. Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 16: CHIEF ACCOMPANIST The Chief Accompanist shall: Be knowledgeable and skilled in the playing of the piano/keyboard and/or any other musical instrument. Be responsible for all instrumentation of music pieces that are done by the Choir, principally the piano or keyboard instrumentation. Coordinate the activities of all other accompanists of the Choir. Work together with the Director of Music and his assistant in ensuring quality in music production. Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 16: FINANCE OFFICER The Finance Officer shall: Have fair knowledge of accounting. Be responsible for keeping accounts of all monies of the Choir and take custody of the Choir’s cheques, receiving and banking all monies. Be one of the signatories to all cheques and accounts. Take custody of all documents and properties of the Choir related to his office. Together with the Executives prepare the budget and financial accounts of the Choir. Keep an imprest of not more than what is approved by the Executives, which imprest shall be replenished as often as necessary after the Finance Officer has produced authentic receipts and/or documents to show how the previous amount has been disbursed. Not effect any payment out of the funds of the Choir without prior consultation and approval of the President. Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 17: ORGANISER The Organiser shall: Organise all activities of the Choir. Ensure the preparation of venues for rehearsals, meetings and other events involving the Choir, and communicating such information to members via the Media/Publicity Coordinator. Take attendance of members to rehearsals, general meetings and other meetings. Correspond with members to find out about their welfare and other related issues Work together with the Media/Publicity Coordinator to create and update the member database Work together with the Curator in ensuring the availability of assets of the Choir during rehearsals, and other meetings as and when needed. Coordinate all activities Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 18: CURATOR The Curator shall: Be responsible for keeping all assets of the Choir. Ensure the security and safety of the assets of the Choir. Keeping and maintaining an asset register for the Choir. Work together with the Organiser in ensuring the availability of assets of the Choir during rehearsals, and other meetings as and when needed. Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 19: MEDIA/PUBLICITY COORDINATOR The Media/Publicity Coordinator shall: Have the responsibility of handling all publicity issues for the choir. Work together with the Organiser to create and update the member database Have responsibilities including, but not be limited to, creating flyers, fliers sending out e-mail, keeping and maintaining the member database. Have knowledge and skills in setting up technological equipment, such as computer systems, sound systems and other similar systems that may facilitate the activities of the Choir, in order to employ them in facilitating the activities of the Choir. Have the authority to request additional help from the members of the choir for issues related to their position. These processes shall be reviewed by the Executives. Delegate his work to be performed at campus level to a member at the campus level. ARTICLE 20: EX-OFFICIO/COOPTED MEMBER(S) The Ex-officio/Coopted Member(s) shall: Be a liaison between the Choir and the Old Students Association or the College. Advice the Executives and the Choir on decision making and other initiatives. ARTICLE 22: CAMPUS REPRESENTATIVE(S) The Campus Representative(s) shall: Coordinate all activities of the Choir at campus level. Superintend all activities and members of the Choir at the campus level. Shall act in the stead of the President/Vice President at the campus level meetings, hence shall report to the President/Vice President on activities at the campus level.
