Start Date: ASAP through end of September Hours: 30-32 hours per week In Office Requirements Include: Experience Sourcing Venues Experience in planning meetings (not just on-site experience) Meetings will have roughly 25-100 attendees 3-4 years of experience **Please review attached document for additional information** Payment: $35/h Summary: Responsible for sourcing and managing the site selection, meeting logistics and contract process for our clients. Applicants with Hotel Sales, Site Selection or CVB experience would be an excellent fit for this position. Essential Duties and Responsibilities include the following: Work directly with hotels and partner locations to manage meeting logistics including, site selection, sleeping room nights, meeting space, room set up, catering and audio visual services as required. Reviews client event requirements, assesses client needs and participates in meeting services sales calls, taking the lead role as needed. Solicits requests for proposals from appropriate venues, present site recommendations and budget proposals to client. Periodically inspects venues to determine site suitability. Negotiates contract terms and pricing for client as needed. Reviews and approves hotel and meeting room contracts prior to signing. Assures the delivery of contracted services and confirms accuracy of meeting invoices as needed. Maintains accurate records and proper tracking of all hotel commissions to ensure timely and accurate payments are received. Serves as liaison between vendors, clients, and organization staff in arranging meetings and training sessions. Other duties may be assigned Supervisory Responsibilities This job has no supervisory responsibilities. Qualifications Bachelor’s Degree or similar experience desired. Candidates must have 3 or more years’ experience in meeting site selection, hotel sales or management, or meeting planning. Computer Skills Proven computer ability including Microsoft Office tools. Experience and familiarity with meeting planning tools and technology. Certificates, Licenses, Registrations CMP designation preferred, but not required. Other Skills and Abilities Sales, negotiation and relationship management skills are necessary. Excellent written and verbal capabilities required.
