THE ROLE You will be responsible for all administrative tasks in relation to the Haven Project and Haven Respite Services, reporting directly to two team leaders in the Camden Office. You will be required to liaise with care staff, clients, carers, consortium partners and service requestors.This is a highly varied role suitable for an experienced administrator with sound interpersonal and organisational skills. The position is Monday to Friday (5 days) with the hours of business from 9am to 5pm. Your responsibilities will include: • Answering the telephone, responding to enquiries or direct calls efficiently and effectively • Provide feedback to management on any concerns that impact on delivery of a professional service • Receive and respond to client and service requests in a timely manner and follow up with regular filing processes • Record client requests into the computer system immediately and send email notification to care staff • Recognise, respect and work effectively with the individual differences of clients and carers • Generate and send invoices to requests/clients on a monthly basis • To ensure the privacy, confidentiality and dignity of clients and carers • To provide ongoing support and assistance to the site staff • To complete/collect care staff timesheets fortnightly and enter payroll • To look for ways to improve systems and processes within the service • Assist with recruitment processes as required • To provide professional record keeping • Maintain client files/records and ensure confidentiality is maintained • Ensure client privacy is maintained at all times • Attend Consortium meeting as required and take minutes, provide information and assistance • To work collaboratively with other team members as required to deliver excellence in care provision • Thorough completion of administrative duties as follows: petty cash; banking and receipting of income; invoicing, purchasing, Financial Management System (FMS) • Preparation of accounts • Process all accounts receivable and accounts payable • Follow up any outstanding invoices and refer any overdue invoices to the Team Leader • Participate in monthly supervision • Participate in annual performance review and training as identified/discussed with team leader • Keep informed of practice issues that ensure best practice is developed and maintained • Seek to continually develop skills in administration • Ability to work independently • Attend staff meetings as required • Work with and support both the Haven Respite and Project teams • Maintain and monitor website • Liaise with Team Leader, Wellness Officers regarding any required changes/updates SELECTION CRITERIA To be considered for this position, it is essential you have: • Previous experience in community care services • Minimum of Certificate III in Business Administration or equivalent • Experience in working with clients who have a disability or mental health concern • Demonstrated ability to respond to service requests efficiently and effectively under pressure • Demonstrated ability to multitask with deadlines • Previous experience and a demonstrated knowledge of working with clients/carers from culturally diverse backgrounds • Ability to work independently and in a team environment • Excellent verbal and written communication skills • Excellent record keeping and reporting skills • Excellent customer service skills • Sound administration and computer skills in MS Word, Excel and Outlook • Ability to monitor/update the Haven Project website • Ability to support and promote the Christian Mission and Values of Anglicare BENEFITS This is a fantastic opportunity to join a growing and supportive Christian NFP organisation.
